Job Summary
Primary role is to provide administrative support to the Chief Executive Officer, Senior Leadership Team and Board of Directors.
We are seeking a highly organized and proactive Executive Assistant to provide essential administrative support to our team. The ideal candidate will possess exceptional office management skills, demonstrate strong project coordination abilities, and excel in managing complex calendars and communication channels. This role offers an opportunity to contribute significantly to our organization’s efficiency by handling diverse clerical tasks with professionalism and precision while supporting our CEO.
Duties
- Manage the daily activities of the CEO’s office and all correspondence.
- Screen incoming calls and correspondence and responds independently when possible.
- Maintain, update, and coordinate the CEO’s schedule.
- Organize programs, events, meetings, and conferences by arranging facilities, caterers, issuing information or invitations, coordinating speakers, and controlling event budgets.
- Provide administrative support to the Senior Leadership Team and Board of Directors, including preparation of agendas, notices, minutes, and resolutions.
- Perform confidential and complex administrative functions, including writing correspondence, completing agency forms, and documenting events.
- Manages event committees and provides support to agency-wide committees, such as the Health & Safety Committee.
- Act as liaison during an agency crisis and provide links to all necessary staff and stakeholders.
- Maintain various database and spreadsheets as necessary.
- Support major agency projects (e.g.,CCBHC).
Qualifications
Required:. High school Diploma with 5 years of relevant experience or an Associates degree with 3 years of experience. Experience and expertise with Microsoft Office applications, including Word, Excel, PowerPoint, and Publisher.
Preferred: Bachelor’s degree in a relevant field and a minimum of two years’ executive-level administrative experience
