JOB DESCRIPTION:
Primary Purpose: Provide clerical, technical, and customer service support for the Human Resources Department. Serve as a backup to the Human Resources Receptionist and perform specialized administrative tasks to support staffing, compliance, records management, and employee services while maintaining confidentiality and professionalism.
RESPONSIBILITIES:
Major Responsibilities and Duties
- Assist and serve as backup to the Human Resources Receptionist, including receiving and routing incoming calls, taking accurate messages, responding to general inquiries, and providing information in a courteous and professional manner.
- Assist with greeting all visitors courteously, determining their needs, checking appointments, and directing or escorting them to the proper person.
- Assist applicants with the employment application process, including providing guidance on application requirements, navigation of the online system, and next steps in the hiring process.
- Respond to employment verification requests within 48 hours of receipt, ensuring accuracy and compliance with district procedures.
- Verify, process, and track Form I-9 Employment Eligibility Verification documents and supporting records, including name changes, to ensure compliance with federal and district requirements.
- Process employee name change requests and update information in all Human Resources and Employee Benefits systems as needed.
- Assist with substitute hiring and onboarding activities as needed, including document collection, data entry, and communication with applicants.
- Receive, sort, and distribute incoming mail and assist with outgoing correspondence and department communications.
- Scan and upload applicant and employee documents into the document management system and assist with the maintenance of applicant and employee records.
- Assist Human Resources and Employee Benefits Staff with clerical duties as needed.
- Assist with onboarding activities for new hires, including preparing packets and collecting required documents.
- Assist with routine HR data requests and basic reporting while ensuring data accuracy and confidentiality.
- Maintain confidentiality.
- Attendance at work is an essential function.
- Other duties as assigned by the supervisor or designee.
EXPERIENCE:
QUALIFICATIONS:
Minimum Education/Certification:
- High school diploma or G.E.D.
- 15 credited college hours OR three years of experience as a secretary or similar office experience preferred
Special Knowledge/Skills:
- Ability to understand and follow oral or written instructions and to maintain records
OTHER INFORMATION:
Equipment Used: Telephone, computer, printer, calculator, copier, shredder, scanner, and other common office equipment.
