JOB DESCRIPTION:
Primary Purpose
The Receptionist for the Lamar CISD Administration Building serves as the first point of contact for visitors, staff, and community members and is the first person seen when entering the district’s central office. This highly visible role supports a large, complex organization with frequent daily interactions involving senior leadership, departments, partners, and the public. The Receptionist is responsible for managing front desk operations, answering and directing high call volumes, handling mail and deliveries, and providing essential administrative support while consistently demonstrating professionalism, discretion, and exceptional customer service. This position requires the ability to operate effectively in a fast-paced, multitasking environment while representing the district.
RESPONSIBILITIES:
Major Responsibilities and Duties
Front Desk and Customer Service:
- Serve as the first impression of Lamar CISD by greeting all visitors in a professional, welcoming, and courteous manner
- Deliver consistently high-quality customer service to district staff, families, partners, and community members
- Manage a high volume of incoming calls, direct inquiries appropriately, and take accurate messages as needed
- Maintain building security through established visitor sign in procedures and badge protocols
- Handle questions, concerns, or complaints with professionalism and discretion, escalating issues appropriately
Administrative and Operational Support:
- Manage incoming and outgoing mail, packages, and deliveries, including transport throughout the building
- Provide administrative support such as filing, copying, scanning, and correspondence distribution
- Assist with calendars, directories, conference room scheduling, and front desk procedures
- Support special projects and tasks as assigned
Professional Expectations:
- Represent Lamar CISD, the central office, and the Community Relations and Communications team with professionalism and integrity
- Serve as a liaison between staff, visitors, and departments by providing accurate information and resolving general inquiries.
- Maintain strict confidentiality when handling sensitive information, documents, and conversations
- Demonstrate reliability, flexibility, and a strong sense of ownership in supporting daily operations
- Operate effectively under pressure while maintaining a calm, respectful demeanor
Other Duties:
- Assist with special projects or tasks as requested by department heads or supervisors.
- Attend training sessions, meetings, or workshops as required to maintain up-to-date knowledge of district policies and procedures.
EXPERIENCE:
Minimum Experience
- Experience with multi line phone systems, mail distribution, and serving as a primary point of contact for an organization
- Experience interacting with the public in a professional front facing role
QUALIFICATIONS:
Minimum Education/Certification:
- High school diploma or G.E.D.
- 15 credited college hours OR three years of experience as a secretary or similar office experience preferred
- Experience in an educational or large organizational setting preferred
Special Knowledge/Skills:
- Bilingual or multilingual skills strongly preferred to effectively support Lamar CISD's diverse community
- Exceptional customer service skills with a strong commitment to professionalism
- Excellent verbal and written communication skills
- Strong organizational skills and ability to prioritize and multitask
- Ability to remain calm, courteous, and solution-oriented
- Ability to handle confidential information with discretion, sound judgment, and professionalism
- Ability to work collaboratively as part of a team while also exercising independent judgment
- Strong attention to detail and follow through
- Ability to distribute mail and materials daily
- Proficiency in Microsoft Office applications including Word, Excel, Teams, and Outlook
OTHER INFORMATION:
Equipment Used
Multi line phone system, computer and standard office software, Raptor system, copier and scanner, mail and postage equipment, district issued phone and any other Lamar CISD technology needed
