Senior Administrative Assistant (Direct Hire) — Denver, CO (Downtown)
Location: Denver, CO 80202
Schedule: Monday–Friday, 8:00 AM–5:00 PM Hybrid
Compensation: Salary range $70,000–$90,000 15% target bonus
Reports to: Office & Workplace Manager
Supports: SVP of Retail Power (remote from Florida)
Position Summary
We’re seeking a highly organized, process-driven Senior Administrative Assistant to provide high-level support to a senior executive with a fast-moving, frequently changing schedule. This role is ideal for someone who thrives in a dynamic environment, excels at complex travel planning and expense management, and can confidently manage calendars, communications, and priorities with discretion and professionalism.
Key Responsibilities
- Manage a high-volume calendar, scheduling meetings and protecting executive time while balancing shifting priorities.
- Arrange complex travel (flights, hotels, transportation), including frequent last-minute changes.
- Prepare, submit, and track expense reports; assist with invoice approvals as needed.
- Monitor and manage the executive’s inbox, elevating time-sensitive and high-priority communications.
- Coordinate internal and external meetings, including logistics such as agendas, materials, catering, and attendee communications.
- Prepare meeting materials, take notes/minutes when requested, and follow up on action items.
- Maintain organized files and documentation, ensuring confidential information is handled appropriately.
- Plan and support team events/offsites (approximately 2–4 times per year) and occasional out-of-state meeting coordination.
- Provide backup front desk coverage and support broader office operations during high-volume events (e.g., town halls).
- Provide light administrative support to other senior leaders as needed.
Required Qualifications
- 5 years of experience supporting a senior leader/executive in an administrative assistant or executive assistant capacity.
- Strong proficiency in Microsoft Word, Excel, and PowerPoint.
- Demonstrated expertise in calendar management, travel coordination, and expense reporting.
- Excellent organization, attention to detail, and ability to manage time-sensitive tasks.
- Strong judgment, discretion, and ability to handle confidential information.
- Confident communicator with strong interpersonal and collaboration skills.
- Ability to work independently, anticipate needs, and proactively create efficiencies.
- High school diploma or GED required (Associate’s or Bachelor’s degree preferred).
Preferred / Nice-to-Have
- Experience supporting leaders in a publicly traded corporate environment.
- Familiarity with CCUS-related or energy/industrial sector terminology and context (helpful, not required).
- Experience with event planning and multi-stakeholder coordination.
