What are the responsibilities and job description for the Events/Group Coordinator position at Lake Austin Spa Resort?
The Group and Events Coordinator’s role aims to support both spa and overnight resort group bookings and special events through coordinating both social and corporate group events before arriving on the property and while the guests are on the property and conduct site inspections for prospective groups and events. This position will report directly to the Sales Manager and works closely on property with the Spa Director, Food and Beverage, and activities teams.
The ideal candidate should be able to do the following:
- Ensure that all business is booked within resort parameters
- Be highly organized and detailed oriented
- Conduct property site inspections and give client presentations. Assist with site inspections for other sales Coordinators when needed
- Create contracts and other related booking documentation as required
- Manage and maintain client account files and tracks in the Sales platform
- Build and maintain strong client relationships
- Detailed events for spa and resort groups to include organizing all food & beverage, ensuring and assisting in meeting space set up, delivering room drops, and assisting in meeting audio-visual needs
- Ensure proper amenities are sent to VIPs in groups
- Ask appropriate questions of the clients and make suggestions to ensure the details meet the group and the resort’s needs
- Create BEOs, group resumes, and communicate client needs to all resort departments. Ensure resort staff follows through on all requests
- Greet clients at events to ensure outstanding service and follow up once complete with soliciting feedback and time to re-book

- A minimum of 2 years of resort or related event experience is required.
This role is fully onsite, requiring the employee to perform all duties in person at our location.
