Position Overview:
The Project Coordinator plays a vital role in supporting the engineering department by ensuring compliance with corporate policies, streamlining communication between administrative and engineering teams, and maintaining project efficiency. This role is responsible for coordinating project activities, monitoring production, and providing regular status updates to internal teams and external clients. By proactively managing tasks, maintaining quality standards, and identifying process improvements, the Project Coordinator enhances workflow efficiency and contributes to the successful execution of land development projects. The target hourly range for this position is $34.00 - $44.00 per hour, an estimated annualized equivalent of $70,720 - $91,520 depending on experience, technical proficiency, and relevant certifications or licensure.
Responsibilities
- Coordinate project activities and track progress to ensure timely completion. Update reports to public agencies as required.
- Assist in updating project schedules to forecast workforce needs and support the entire project process from initiation to completion.
- Review and ensure timely submission of expense and mileage reports. Follow up on necessary edits and discrepancies.
- Manage and organize project documents, including drawings, specifications, reports, and other materials. Ensure proper uploading and version control on the server.
- Engage with clients, assist in seeking new contracts and maintain relationships with both public and private sector clients.
- Draft and send due diligence memos to brokers as needed.
- Assist in preparing and submitting permit applications while tracking approvals and agency comments.
- Schedule and coordinate project meetings, prepare agendas, and document meeting minutes. Follow up on action items as needed.
- Support teams by reviewing project deliverables for accuracy, completeness, and compliance with requirements.
- Provide general administrative assistance to project managers and engineering teams, including handling correspondence, data entry, and file management.
- Assist with additional tasks as required to support project success.
Qualifications & Skills:
- Bachelor's degree in civil engineering, construction management, business administration, or a related field (or equivalent work experience).
- Strong organizational and time management skills with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Excellent written and verbal communication skills for interacting with clients, agencies, and internal teams.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and project management software.
- Familiarity with AutoCAD Civil 3D, Bluebeam, GIS, and permitting processes.
- Ability to work independently while fostering effective team collaboration.
- Strong problem-solving and analytical skills with a high level of attention to detail.
- Experience with document control, reporting, and compliance tracking in engineering projects.
