Job Overview:
The Project Coordinator position plans and coordinates construction project management activities to meet project design requirements, schedules, and organizational financial objectives. Liaises with clients, designers, engineers, subcontractors, and other stakeholders to ensure deliverables, requirements, schedules, costs, and meeting plans are documented and communicated.
Being a Project Coordinator requires comprehensive knowledge of construction processes and established standards, procedures, and collaboration tools for effective project management throughout the project lifecycle. Monitors project milestones, changes, and technical status reports. Additionally, Project Coordinator responds to escalated issues that may impede project delivery and coordinate solution implementation. Allocates resources, budgets, and hours to the project and adjusts allocations when necessary. You will report to the assigned Project Manager.
Project Coordinator candidate will need prior knowledge about every stage of the Construction process, from Scope Development to Project Closeout, and must have the ability to proficiently manage the following responsibilities:
Responsibilities:
- Assist Project Managers in planning and coordinating all aspects of project ensuring that goals are achieved within the specified schedule, scope, and budget.
- Conducts pre-bid job walks to assess project specifications, identify potential challenges and gather essential information required for accurate project bids.
- Manage project files ensuring all information is organized and easily accessible.
- Coordinate with architects, inspectors, and School District personnel to ensure project milestones are met and issues are promptly addressed.
- Support Project Managers with administrative tasks, including scheduling meetings, preparing reports, meeting agendas, and managing project-related correspondence.
- Serves as the primary point of contact between clients, subcontractors, suppliers, and internal teams to ensure smooth communication and coordination throughout the project lifecycle.
- Maintain accurate project documentation, including contracts, change orders, RFIs, and progress reports, and provide regular updates to stakeholders.
- Provide administrative support to project managers and field staff, assisting with procurement, equipment management, scheduling, ordering materials or supplies, and other project-related tasks as needed.
- Facilitates the collection of submittals from subcontractors, ensuring timely submission and accuracy of documentation, and effectively communicates with the construction manager for seamless project coordination.
- Prepare and compile closeout packages, ensuring that all required documents are complete and submitted promptly.
- Performs other related duties as assigned.
Qualifications & Experience:
- High school Diploma or GED required.
- Minimum 4 years of experience in project coordination, planning, and reporting, preferably in the construction industry.
- Proficient in Microsoft Office with the ability to quickly learn new software applications.
- Strong written and verbal communication skills, with the ability to interact effectively with team members and external stakeholders.
- Excellent multitasking and organizational skills, with a strong attention to detail.
- Positive attitude, team-oriented mindset, and a commitment to upholding company values and standards.
Physical Requirements:
- Must be able to access and navigate all areas of the construction site in all types of weather.
- Must be able to lift up to 40 pounds at times.
