We are seeking a reliable and detail-oriented Accounts Payable Representative to join our team. In this role, you will help ensure that invoices are processed accurately, vendor accounts are maintained properly, and payments are issued on time. Responsibilities
- Review invoices against purchase orders, receiving reports, and other documents for accuracy
- Enter invoices and credits into the system daily while coordinating with Purchasing and Receiving
- Maintain organized and up-to-date vendor files, including invoices, payments, and supporting records
- Process weekly check runs
- Complete month-end reconciliations to confirm all invoices have been received and recorded
- Respond to vendor inquiries through phone calls, emails, and statements
- Ensure available discounts are taken when applicable
- Provide backup assistance to fellow Accounts Payable Representatives as needed and stay familiar with shared vendor histories
Technical Competencies
- Knowledge of BisTrack and/or Microsoft Dynamics GP (preferred)
- Strong general computer skills
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Solid basic math skills
Non-Technical Competencies
- Strong judgment and problem-solving ability
- High attention to detail and organizational skills
- Ability to take initiative and follow tasks through to completion
- Ability to work independently while keeping supervisors informed
- Clear verbal and written communication skills
Qualifications
- High school diploma or GED required
- Additional coursework in accounting, bookkeeping, or related fields preferred
- Minimum 1 year of accounts payable or accounting experience (2–3 years preferred)
- Ability to read, write, and speak English
- Familiarity with accounting programs and software
