Project Coordinator — Construction

Our client is seeking a highly organized and proactive Project Coordinator to support both estimating and operations within a busy commercial glass and glazing subcontractor.
This role helps keep projects moving by coordinating pricing requests, material purchasing, service scheduling, and installation logistics — making sure details are accurate, timelines are clear, and communication flows smoothly between vendors, field teams, and project managers.

What You’ll Do
- Estimating Support — (Material Procurement Assistance)
- Assist estimators in obtaining vendor pricing for glass, aluminum framing systems, storefront/curtain wall components, door hardware, and related materials
- Request and track supplier/fabricator quotes, lead times, and availability; follow up to meet deadlines
- Maintain organized quote files and confirmations for estimator review
- Help verify scope accuracy (inclusions, exclusions, freight, tax, fabrication, lead times)
- Purchasing & Material Coordination (Awarded Projects)
- Create and process purchase orders per procedures and PM direction
- Order materials, confirm acknowledgments, and verify pricing/quantities
- Track fabrication and delivery timelines through jobsite arrival
- Coordinate resolution of backorders, shortages, damage, or schedule changes
- Maintain procurement logs and organized project files
- Scheduling — Service & Installations
- Schedule service calls (repairs, glass replacements, warranty work, adjustments)
- Communicate service schedules clearly to technicians and confirm required materials are available ahead of dispatch
- Work with Superintendent and Operations Manager to schedule installations, including crew availability and manpower, jobsite constraints, delivery timing and staging needs, and sequencing to support project milestones
- Assist with short-interval (weekly look-ahead) schedules and communicate updates clearly
- Project Coordination & Communication
- Act as the central communication point between office, field, vendors, and customers
- Provide status updates to PM on procurement and schedule impacts (lead times, delivery impacts, site constraints, and schedule changes)
- Support document control (job folders, acknowledgments, packing slips, tracking)
- Help keep projects organized and moving, escalating issues early when schedule or cost may be affected
What We’re Looking For
- Required
- 2 years in construction administration, project coordination, purchasing, or scheduling (subcontractor environment preferred)
- Strong phone and email communication skills — comfortable coordinating with vendors, GCs, and customers
- Highly organized and detail-oriented with the ability to manage multiple active jobs
- Proficiency in Microsoft Office (Outlook, Excel, Word)
- Ability to follow standardized processes and learn company systems
- Preferred
- Experience in commercial glass & glazing, storefront/curtain wall, doors/hardware, or related trades
- Experience creating purchase orders and tracking lead times, coordinating deliveries, and supporting field installation schedules
- Familiarity with plans/specs, submittals, and construction terminology
