What are the responsibilities and job description for the Practice Operations & Billing Manager position at KSI?
Practice Operations & Billing Manager
Location: North Liberty, IA
Company: Client Confidential - Pediatric Therapy Clinic
Are you the type of person who sees what needs to be done — and takes the lead to make it happen?
This role is both hands-on and leadership-oriented: you’ll direct front-office workflows, oversee the afternoon front-desk team, coordinate scheduling and intake, and manage weekly billing functions (about 10 hours/week) in a private workspace away from reception. Your leadership ensures therapists stay focused on patient care — while families experience a warm, organized, and efficient clinic.
This role is perfect for someone who’s not just reliable and consistent (yes, please!), but also upbeat, friendly, and excited to make a difference behind the scenes.
What You’ll Lead & Own
- Front Desk Leadership
- Provide daily direction for front-desk operations and support the afternoon shift as the on-site lead
- Ensure phones, check-ins, messages, and follow-ups are handled consistently and professionally
- Keep intake paperwork moving — no bottlenecks
- Actively monitor openings and help fill schedules (we have a waitlist)
- Mentor, coach, and model a calm, welcoming, professional front-office culture
- Scheduling & Coordination
- Coordinate appointments, cancellations, and reschedules with accuracy
- Partner closely with therapists to ensure families understand next steps
- Track and improve key metrics (attendance, cancellations, utilization, collections)
- Billing Administration (≈10 hrs/week)
- Process claims, verify insurance, and post payments
- Follow up proactively on denials and outstanding balances
- Maintain billing documentation and confidentiality
- Work independently in a dedicated space away from the front desk
- Leadership & Systems Improvement
- Anticipate needs and suggest improvements before issues arise
- Help roll out new processes and tools
- Serve as a liaison between clinical and administrative teams
- Support operational planning as the practice expands
Who You Are
- A natural leader who takes ownership and follows through
- Confident working independently while staying collaborative
- Highly organized, detail-focused, and steady under pressure
- Comfortable with technology, spreadsheets, and basic reporting
- Warm, professional, and supportive with families and teammates
- Growth-minded — excited to help build what comes next
-
Bonus if you have experience in healthcare, therapy offices, or insurance/billing!
Schedule
- Typical hours are 7:30 AM – 4:00 PM (with some flexibility at the end of the day).
- Reliability to open the clinic each morning is essential.
- This role may occasionally support basic entryway upkeep (like shoveling or salting the stoop during heavier snow). A snow-removal service handles primary clearing.
Compensation & Benefits
- Hourly: $24–$28 (depending on experience)
- Location: North Liberty, Iowa
- Full-Time Benefits:
- Health, dental, and vision
- Employer-paid life, AD&D, short- & long-term disability
- 401(k) with employer match
- Paid time off (increasing with tenure)
- Six paid holidays
