What are the responsibilities and job description for the Document Control Specialist position at Kratos Defense?
GENERAL JOB SUMMARY:
Performs document control function(s) as defined in the Quality Management System. These tasks include but are not limited to archival of records, inspection stamp control, and aircraft logbooks as required by contract.
ESSENTIAL JOB FUNCTIONS:
- Scans and files documents submitted to Document Control in accordance with QMS procedures.
- Maintains electronic database of documents.
- Maintains quality control records and reports, as requested.
- Maintains an organized and clean work area.
- Prepares various types of aircraft logbooks, per contractual requirements
- Manages quality record documentation and retention per QMS and contractual requirements
- Reviews manufacturing documentation for completeness before archival
- Coordinates yearly disposal of records, ensuring proper protocols are followed
- Maintains detailed record for archived records, ensuring they can be located efficiently after being stored
- Manages quality acceptance stamps for inspection staff; conducts periodic audits, ensuring compliance
- Provides multi-site training to ensure other manufacturing facilities are adhering to QMS requirements for logbook, document control, and inspection stamps
- Supports internal and external audits, as required
- Orders supplies for document control function, as required.
Other Job Functions
- Communicates internally with all employee groups on a regular basis.
- Communicates externally with External auditors, customers or registrars as needed.

Experience and Skills:
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
- Proficient with Microsoft Office products – namely Excel and Word
- Ability to maintain sensitive and confidential information as required by government standards
- Ability to interact effectively with peers and supervisors
- Ability to adhere to workplace rules
EDUCATION AND EXPERIENCE:
- High School diploma or equivalent.
- Detail oriented and very well organized.
- Ability to communicate effectively both written and verbally.
- 1-3 years of related document control experience desirable.
- May be required to obtain and maintain a U.S. security clearance at the appropriate level (requires U.S. Citizenship).
WORK ENVIROMENT / PHYSICAL REQUIREMENTS:
- Primarily desk work. High volume of filing and keyboarding.
- Must be able to climb a ladder to reach upper files.
- May work extended hours and/or weekends.
