Employment Coordinator – Workforce Operations

$125 per diem
Position Overview
We are seeking a hands-on, travel-ready Employment Coordinator to support staffing operations and contractor performance across multiple client project sites in West Texas. This position serves as the primary communication link between our staffing team, client leadership, field supervision, and assigned contractors — traveling regularly between project locations as workforce needs require.
The Employment Coordinator is responsible for ensuring the staffing program operates effectively — from manpower planning and weekly hours reporting to contractor onboarding, site check-ins, workforce issue resolution, and participation in client manpower meetings.
Required Qualifications
- 3 years in staffing, workforce coordination, construction operations, field administration, HR, or related field
- Experience with industrial construction, E&I, oil and gas, data centers, or manufacturing workforces strongly preferred
- Strong organizational, communication, and problem-solving skills
- Comfortable traveling regularly between multiple project locations
- Working knowledge of timekeeping, payroll coordination, manpower reporting, and contractor documentation
- Proficiency with Microsoft Excel, Outlook, Teams, and workforce/ATS systems
- Valid driver's license, reliable transportation, and acceptable driving record
- Willing and able to travel on a regular/ongoing basis to West Texas project sites
Key Responsibilities
- Serve as the primary onsite contact between the client, staffing team, recruiters, payroll, operations, and contractors
- Maintain consistent communication with client project managers, superintendents, HR representatives, and site leadership
- Participate in client manpower, staffing, planning, and project coordination meetings
- Provide updates on headcount, open positions, upcoming workforce needs, starts, departures, and attendance concerns
- Document client requests and relay information quickly to recruiting and operations teams
- Track daily and weekly manpower levels across assigned project locations
- Collect, verify, and report contractor hours and staffing activity
- Resolve missing, inaccurate, or disputed time entries before payroll and billing deadlines
- Maintain accurate records of contractor start dates, schedules, assignments, transfers, and terminations
- Prepare regular staffing reports for internal leadership and client review
- Coordinate contractor onboarding, site access, orientation, drug screening, background checks, and safety training
- Meet new contractors onsite and ensure readiness for their first day
- Conduct regular site visits and contractor check-ins
- Escalate safety, performance, attendance, or compliance concerns immediately
- Support offboarding, reassignment, and demobilization when projects end
- Monitor contractor attendance, reliability, and performance
- Gather client supervisor feedback and communicate concerns to leadership
- Identify retention risks and help prevent unnecessary turnover
- Work with recruiters on job requirements, hiring priorities, and workforce forecasts
- Confirm candidate availability and readiness before scheduled starts
- Coordinate replacement personnel as needed
- Keep applicant tracking and timekeeping systems accurate and current
Preferred Qualifications
- Experience coordinating a large contingent workforce or onsite staffing program
- Experience in construction manpower or workforce-planning meetings
- Familiarity with industrial jobsite safety orientations, badging, and compliance
- Bilingual English/Spanish a plus
