Duties
- Supervise daily office activities, including front desk operations and multi-line phone systems, ensuring professional communication at all times
- Manage scheduling and calendar coordination for meetings, appointments, and events to optimize team productivity
- Oversee vendor management by negotiating contracts, maintaining relationships, and ensuring timely delivery of supplies and services
- Coordinate event planning for company functions, trainings, and team-building activities to foster a positive work environment
- Handle human resources responsibilities such as onboarding new staff, maintaining employee records, and supporting training & development initiatives
- Maintain bookkeeping records, manage budgeting processes, and perform clerical tasks including filing, data entry, and document management
- Ensure office compliance with policies and procedures while promoting effective communication across teams
Requirements
- Proven experience in office management or administrative roles with supervisory responsibilities
- Excellent organizational skills with the ability to manage multiple calendars and schedules efficiently
- Experience in vendor management, contract negotiation, and budget oversight
- Background in human resources functions including onboarding, training & development, and employee relations
- Demonstrated ability to handle clerical duties such as filing, front desk reception, and multi-line phone systems with professionalism
- Exceptional communication skills—both verbal and written—and phone etiquette to foster positive interactions with staff and clients
- Knowledge of medical office procedures is a plus but not required; relevant experience highly valued
- Ability to adapt quickly in a fast-paced environment while maintaining attention to detail
