Position Overview
We are seeking a highly organized, detail-oriented, and dependable Intake Coordinator to join our collaborative team. This role is ideal for someone who thrives in a fast-paced outpatient behavioral health setting and has experience with insurance verification (VOB), prior authorizations, and client intake.
As a key member of the front office and care coordination team, you will help clients access care smoothly by verifying benefits, securing authorizations, and supporting the overall intake process.
Key Responsibilities
- Verify insurance eligibility and benefits (VOB) for new and existing clients accurately and promptly
- Obtain, track, and manage initial and concurrent prior authorizations for mental health and substance use services
- Monitor authorization usage, expiration dates, and unit limits to prevent gaps in care
- Follow up with insurance carriers on authorization issues, denials, or delays until resolved
- Coordinate with providers and clinical staff to gather documentation needed for authorizations
- Process medication prior authorizations and coordinate refill requests with prescribers and pharmacies
- Update patient demographics, insurance information, and alerts in the EHR
- Assist patients with billing and insurance-related questions
- Assist admin team as able to respond to phone and email inquiries, schedule appointments, and answer practice-related questions
- Provide exceptional customer service to clients and families in person, by phone, and by email
- Collect co-pays and support basic billing questions
- Respond to records requests while maintaining strict HIPAA compliance
- Support urinalysis processes as needed
- Help maintain a clean, organized, and efficient front office environment
Qualifications
- Previous experience in office administration, behavioral health, insurance verification, and prior authorizations preferred
- Strong attention to detail, organizational skills, and ability to manage multiple priorities
- Excellent written and verbal communication skills
- Comfortable working with EHRs and insurance portals
- Compassionate, professional, and client-centered approach
- High school diploma required
