What are the responsibilities and job description for the Proposal Specialist position at Kestrel Vision?
We’re looking for a motivated and detail-oriented Proposal Specialist to join our team. In this role, you’ll deliver high-quality new equipment and upgrade proposals that highlight our company’s strengths as a leading provider of vision inspection systems for the food and beverage industry. You’ll work closely with sales, engineering, and project teams to bring together the technical details, client requirements, and compelling messaging that help us win new business. While this isn’t a hands-on technical role, your curiosity and comfort level working with technical content will give you a distinct advantage.
What You’ll Do
- Manage the full proposal process—from reviewing RFPs and RFQs to coordinating contributors and finalizing submissions
- Analyze client requirements and timelines, ensuring every deliverable is complete, accurate, and compliant
- Write, edit, and format proposal narratives and supporting documentation
- Collaborate with subject matter experts and engineers to capture and present information clearly and persuasively
- Ensure all proposals align with company standards, brand guidelines, and client expectations
- Maintain and improve proposal templates, content libraries, and standard materials
- Support process improvement initiatives to make proposal development more efficient and effective
What You’ll Bring
- Strong writing, editing, and organizational skills with the ability to manage multiple projects and deadlines
- Proven ability to coordinate input from cross-functional teams
- Strong proficiency in Microsoft Office Suite; experience with proposal management tools a plus
- Comfort level working with technical content and learning about engineered systems and manufacturing processes
- Excellent attention to detail, time management, and communication skills
- Ability to build positive relationships to facilitate communication and cooperation
Qualifications
- Associate degree in Business, Communications, Marketing, or related field required
- Bachelor’s degree preferred
- 3-5 years of relevant work experience
- Salesforce certification (Administrator or Sales Cloud Consultant) a plus
