The Clerical Assistant provides administrative and clerical support to ensure the efficient operation of the office. This position assists with filing, data entry, document management, phones, scanning, and other administrative tasks while maintaining confidentiality and providing excellent customer service.
Essential Duties and Responsibilities
- Answer and direct incoming telephone calls professionally.
- Perform data entry accurately and timely.
- Scan, file, organize, and maintain electronic and paper records.
- Prepare, copy, fax, and distribute documents.
- Process incoming and outgoing mail.
- Maintain office supplies and notify management when inventory is low.
- Assist with scheduling appointments as needed.
- Verify and update patient demographic information.
- Assist with insurance paperwork and authorizations as directed.
- Organize medical records and ensure documentation is complete.
- Maintain confidentiality in accordance with HIPAA and company policies.
- Support providers and other departments with administrative tasks.
- Keep work areas organized and professional.
- Perform other duties as assigned by management.
Qualifications
- High school diploma or GED required.
- Previous clerical or medical office experience preferred.
- Knowledge of Microsoft Office (Word, Excel, Outlook).
- Excellent organizational and time management skills.
- Strong verbal and written communication skills.
- Ability to multitask in a fast-paced environment.
- Professional appearance and positive attitude.
- Ability to maintain confidentiality.
Physical Requirements
- Ability to sit, stand, and walk for extended periods.
- Frequent use of computers, telephones, and office equipment.
- Ability to lift up to 40 pounds occasionally.
Preferred Qualifications
- Experience with Electronic Medical Records (EMR).
- Knowledge of medical terminology.
- Bilingual (English/Spanish) preferred, but not required.
Pay: $18.00 - $20.00 per hour
