Kennedys, an international law firm with offices throughout the United States, seeks a full-time Litigation Legal Assistant/Secretary to join its Miami office. Our ideal candidate will assist multiple attorneys with all aspects of litigation including discovery, court filings and trial preparation in a team environment.
This position operates on a hybrid schedule, with a requirement to work onsite in the Miami office three days per week. Occasional additional hours may be required during peak business periods.

Key Responsibilities
- Preparing preliminary pleadings, i.e. notices of appearance/email designations, deposition notices, motions for extensions, discovery pleadings and assist attorneys with removal from state to federal court filings and service of discovery
- Intake of all incoming correspondence and court filings, including saving into file appropriately and calendaring all deadlines without supervision including CMOs and Trial Orders
- Schedule depositions, hearings, and conferences. Will be solely responsible for routine follow ups for each, and coordinating/finalizing with counsel and court reporters
- Ability to maintain and remind and follow up calendar of hearings, appointments, mediations, depositions, meetings, deadlines, and travel for multiple managing partners and associates
- Minimum 4 years of experience in insurance defense, coverage litigation and complex civil litigation (insurance focused preferred)
- Superior organizational skills, the ability to handle a fast-paced environment, multitask, pay strict attention to detail and take initiative to ensure all tasks are completed in a timely manner with minimal errors is required
- Proficiency with the Microsoft Office Suite (advanced Word, Excel and Outlook)
- Strong written and verbal communication skills, with the ability to proactively manage assignments and deadlines
- Hands-on experience supporting multiple attorneys simultaneously in high-volume matters
- Thorough working knowledge of and experience with state and federal court e-filing systems, including counties across the State of Florida and federal courts (CM/ECF).
- Experience in US Virgin Islands cases is a plus
- Experience with docketing, calendaring, and deadline management, including litigation deadlines, hearings, mediations, and depositions
- Experience preparing, formatting, and filing pleadings, motions, discovery, notices, and correspondence
- Experience with subpoena requests is a plus
- Familiarity with insurance policies, claims files, coverage correspondence, and litigation documentation
- Knowledge of PDF software, iManage, and/or Chrome River highly preferred
