Job Overview: Real Estate Property Manager & Broker’s Executive Assistant
We are seeking a dedicated and detail-oriented Property Assistant to support our property management team. The ideal candidate will possess strong administrative skills, knowledge of real estate and property management accounting.
20–25 hours per week. This role supports the Designated Broker directly, combining light accounting, administrative responsibilities, and relationship-building and recruiting with real estate agents.
This role involves managing a team of staff that assist with leasing, tenant relations, maintenance coordination, and ensuring compliance. The Property Assistant plays a vital role in maintaining smooth operations of the brokerage as directed by the Designated Broker;
Responsibilities
- Assist the Designated Broker daily with organization, scheduling, and planning.
- Perform basic bookkeeping and financial entry tasks (Buildium experience is a plus but not required).
- Make phone calls, follow up with agents, schedule meetings, and help maintain strong relationships with Keller Williams agents.
- Provide light property management support as needed.
- Manage office operations, documents, emails, and communication flow.
- Support recruiting efforts for growth
- Support administrative tasks such as filing, data entry, and record keeping related to property operations
- Coordinate with facilities management teams for property upkeep and repairs
- Uphold customer service standards by addressing tenant needs promptly and professionally
Experience
- Prior experience in real estate administrative roles or property management is highly desirable
- Knowledge of landlord-tenant law, and legal administrative procedures is preferred
- Strong customer service background with excellent phone etiquette and conflict resolution skills
- Proven ability to handle contracts, negotiation processes, and upselling strategies effectively
- Office experience involving data entry, filing systems, and administrative support functions is essential
- Demonstrated ability to manage multiple priorities efficiently within a fast-paced environment
Job Type: Part-time
Pay: $18.00 - $25.00 per hour
