Responsibilities
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
- Handle all front desk duties including scheduling appointments, maintaining calendars, and coordinating meetings
- Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office management tools
- Support administrative tasks such as proofreading documents, managing correspondence, and assisting with bookkeeping using QuickBooks or similar software
- Assist with office management duties including supply inventory, organization of common areas, and ensuring a tidy reception area
- Provide customer support by addressing inquiries accurately and courteously in person or via phone or email
Requirements
- Proven experience in office administration or clerical roles with strong organizational skills
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
- Excellent phone etiquette with experience managing multi-line phone systems in a professional setting
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Strong typing skills with attention to detail for proofreading and document accuracy
- Previous experience as a dental or medical receptionist is a plus but not required; familiarity with appointment scheduling is beneficial
