Duties
- Greet visitors and clients warmly, providing exceptional customer service and ensuring a positive first impression
- Operate multi-line phone systems efficiently, directing calls accurately and professionally using proper phone etiquette
- Manage appointment scheduling, calendar coordination, and meeting arrangements using tools like Google Workspace and Microsoft Office
- Handle data entry, filing, proofreading, and document management with precision and attention to detail
- Support office management tasks such as inventory tracking, supply ordering, and maintaining cleanliness and organization of common areas
- Assist with bookkeeping activities including basic QuickBooks data entry and personal assistant responsibilities as needed
- Maintain accurate records of visitor logs, incoming/outgoing correspondence, and office supplies
Requirements
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and data entry applications
- Strong customer service skills with professional phone etiquette and bilingual abilities preferred for diverse client interactions
- Experience with office management software or bookkeeping tools is a plus
- Ability to handle multiple responsibilities simultaneously while maintaining attention to detail
