What are the responsibilities and job description for the Office Administrator position at KDM Steelworks?
KDM Steelworks is a structural steel fabrication company in the heart of downtown Loveland Colorado. We fabricate and ship out steel nationwide.
We will be scheduleing interviews in the beginning of the new year (January 6th and 7th) and hope to fill the position before the 19th. All job interviews are done in person in Loveland, CO. We do not do any online interviews.
We are looking for an Office Administrator to organize and coordinate administration duties, purchasing of steel and other material for production. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety along with the ordering of supplies and material for work in the shop.
Previous experience as a front office manager or office administrator would be an advantage. Also any previous experience as purchasing is a plus but not a must. You must be familiar with the use of computers and able to learn new programs - 90% of the work you do will be sitting at a desk on the computer.
We do require that you have expeirence with QuickBooks, excel and a basic understanding of how to use an email system; such as Outlook. Experience with Tekla is a plus but not a requirement.
This is a multi tasking job you must have a high ability to multi task with great attention to detail.
We work 4 ten hour days with a 3 day weekend. Our current work hours are 6:00am to 4:30pm Monday through Thursday, we are closed Friday.
Responsibilities
- Be the point of contact for office administrative duties including: mail, ordering supplies, equipment care adn running errands
- Schedule meetings and appointments, managing the office calendar
- Organizing the office and office supplies
- Maintain the office condition and arrange necessary repairs
- Create purchase orders and enter in Quickbooks
- Manage price negotiations with office vendors and service providers
- Provide general support to visitors, greeting visitors and answering phones
- Liaise with facility management vendors, including cleaning, catering and security services
- Breakout Drawings
- Follow up with vendors on material already purchased
- Using TEKLA EPM, following process of purchasing material and hardware for work in the shop and creating PO's for said items
- Providing general administrative support.
- Able to lift 50 Pounds
- Must be ablet o go up and down stairs
- Notary is a plus
Skills
- Proven experience as an Office administrator, front office manager or Administrative assistant
- Knowledge of office administrator responsibilities, systems and procedures
- Proficiency in MS Office (MS Excel and MS Outlook) and QuickBooks software
- TEKLA EPM software understanding is a plus
- Notary ability is a plus
- Hands on experience with office machines (e.g. printers)
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- A creative mind with an ability to suggest improvements
- High School degree; additional qualification/experience as an Administrative assistant or Secretary will be a plus
