The Billing Specialist provides high‑level billing and administrative support to project managers within a project‑based accounting environment. This role requires advanced organizational skills and the ability to manage multiple projects, billing types, and deadlines concurrently while maintaining exceptional accuracy. Responsibilities include overseeing job cost and billing data within accounting systems; preparing, reviewing, and issuing complex Time & Materials (T&M) and lump‑sum invoices; and ensuring compliance with contract terms, client requirements, and internal controls. The Billing Specialist supports project setup, billing schedules, tracking, and reporting, leads billing coordination through project closeout, and serves as a key point of contact for billing‑related communication, issue resolution, and process improvement.

Responsibilities:

• Assist with new project and job setup, including data entry, tracking, and report generation.
• Generate monthly invoices, including draft and final billings, and review for accuracy.
• Maintain accurate and timely job cost and billing data.
• Organize and maintain confidential project files, records, and databases.
• Receive, review, and process invoices for accuracy.
• Record and enter billing, job, and administrative data into accounting systems.
• Prepare and distribute scheduled and ad hoc reports to the project team.
• Support monthly billing activities and project closeout processes.
• Manage communication including emails, phone calls, and client correspondence related to billing and accounts receivable.
• Schedule meetings, appointments, and billing-related reviews as needed.
• Identify discrepancies and escalate issues to ensure timely and accurate billing.
• Support project managers with administrative and billing-related tasks as required.

Minimum Qualifications:

• Minimum of 1–2 years of clerical, billing, construction accounting, or job cost (T&M) accounting experience.
• Strong proficiency in Microsoft Excel and Microsoft Office Suite.
• High degree of attention to detail and data accuracy.
• Strong verbal and written communication skills.
• Ability to work in a fast-paced environment with shifting demands.
• Working knowledge of general office equipment and data entry systems.
• Strong analytical, mathematical, and financial tracking skills.

Preferred Qualifications:

• Previous billing or invoicing experience.
• Experience supporting project managers or project-based accounting.
• Deltek experience is a plus.

Education:

• High school diploma or GED required. Associate degree in Business Administration or a related field preferred.

Compensation:

• $25.00-$35.00/hour (equal to $52,000-$72,800 annually)
• Position eligible for overtime
• Position eligible for discretionary bonuses at the sole discretion of the company
