Executive Assistant
We are looking to bring on an experienced executive assistant to support the entrepreneurial owner of Kari Whitman Interiors, a luxury interior design firm located in Boulder, CO. The ideal candidate for this role will be extremely confident with Google Drive (gmail, google calendar, sheets, etc) and Microsoft Excel. They will also have extensive experience managing an ever-evolving calendar and travel schedule, handling HR processes and managing people and the office environment.
At this time, we are not looking to bring in an entry-level assistant. We are seeking an experienced executive assistant who has worked in active environments and with successful entrepreneurs.
This position is fully in-office (we are unable to offer remote or hybrid schedules) and may require longer hours at times (40-50hrs per week). We value transparency and want to ensure that candidates are aware that this is a highly important position for our company and will require a high level of support. The CEO recognizes and values this and rewards hard work monetarily as often as possible.
Responsibilities of Executive Assistant:
- Coordinating and conveying the executive’s calendar and schedule using Google Calendar
- Managing emails and phone calls on behalf of the executive
- Booking and canceling appointments and meetings as needed, including using Zoom
- Overseeing office operations and HR processes including payroll, onboarding and overseeing staff
- Overseeing, tracking and managing bookkeeping and accounting using Google Sheets and Microsoft Excel for multiple clients and projects
- Ensuring billing is accurate and timely
- Overseeing office financials including monitoring expenses, purchases, and credit cards
- Booking, monitoring and managing frequent travel for the executive- locally, domestically and internationally
- Other responsibilities as needed
Requirements of Executive Assistant:
- Extremely competent with Google Drive, Google Calendar, Gmail, Google Sheets, Microsoft programs, etc
- Have continual access to a laptop computer and vehicle and be willing to use and carry a company cellphone
- Have excellent written and verbal communication skills
- Have minimum 5 years of experience as Executive Assistant, Executive Administrative Assistant, Paralegal, or similar profession
- Feel comfortable and confident in working and handling tasks independently with little to no supervision
- Willing to travel up to 3 days per month
- Must be open to handling work related issues that may arise in evenings or on weekends
- Must be comfortable working with dogs in the office
- HR, accounting/bookkeeping, and office management experience strongly preferred
Hours for Executive Assistant:
- Our office is open 10am-7pm, M-F, but we anticipate the person in this role will regularly work 40-50hrs per week (staying late and/or coming in early to make sure tasks are completed)
- We work hard for our clients, so there may be occasional evenings/weekends that will require your support
Compensation of Executive Assistant:
- $70,000-$90,000 per year depending on experience
- Health insurance offered
- Bonuses offered based on performance
