Kalb Construction is expanding our preconstruction and estimating team and we are looking for a Preconstruction Coordinator who can support the front end of our project pipeline. This role is ideal for someone who is organized, proactive, communicative, and excited to be part of a fast-moving construction environment.
The Preconstruction Coordinator will work closely with our estimators, project executives, and partners to ensure that bids, budgets, and proposals are prepared accurately and on time. This is a key position that helps set the tone for client relationships, subcontractor engagement, and the quality of information that flows into the operations team.
Responsibilities
- Organize and manage bid documents, drawings, addenda, and project information as it is issued
- Coordinate subcontractor outreach including invitations to bid, follow-up communication, and tracking of responses
- Support the estimating team with quantity takeoffs, data entry, scope comparison, and review of subcontractor proposals
- Maintain internal estimating logs, schedule bid deadlines, and keep the team aligned with deliverable timelines
- Assist in preparation of budgets, proposals, and qualification packages for clients and design partners
- Maintain current subcontractor contact lists and ensure all vendors receive accurate information throughout the bid process
- Track RFI submissions during preconstruction and organize all incoming clarifications for the estimators
- Handle administrative tasks related to bid submissions, including formatting documents and preparing final uploads or deliveries
- Support internal handoff from preconstruction to operations by organizing all project information cleanly and completely
Qualifications
- Previous construction experience preferred, especially in estimating or project coordination
- Strong organizational skills and ability to manage multiple deadlines at once
- Excellent communication skills with subcontractors, design teams, and internal staff
- Proficiency in Microsoft Office. Experience with Procore, Autodesk, Foundations, or cloud-based estimating platforms is a plus
- Ability to read drawings and construction documents at a basic level
- Detail-oriented with a focus on accuracy and quality control
- Professional, proactive, and able to work in a fast-paced setting
