At Kaizen Health and Wellness in Urbandale, that first impression matters.
We’re looking for a Patient Care Coordinator / Front Desk Coordinator who brings warmth, organization, and great customer service to every interaction.
You do not need previous healthcare experience to be successful in this role. If you are dependable, comfortable communicating with people, willing to learn, and enjoy keeping things organized, we can teach you the systems and processes you need to know.
This is a full-time, Monday through Friday position with an established physical therapy practice that is continuing to grow.

You’ll help create a smooth experience from the moment someone contacts Kaizen through each visit that follows.
Patients may be dealing with pain, an injury, or uncertainty about what comes next. Your ability to communicate clearly, stay organized, and make people feel comfortable can make a real difference in their experience.
You’ll also help keep the clinic moving behind the scenes by managing schedules, following up with prospective patients, maintaining accurate information, and communicating with the rest of the team.

What You’ll Do
Patient Scheduling & Lead Follow-Up
- Answer incoming calls and respond to patient questions with professionalism and warmth.
- Schedule new patient evaluations and follow-up appointments.
- Follow up with prospective patients by phone and email.
- Help convert inquiries and leads into scheduled appointments.
- Maintain an organized schedule that supports both patients and the clinical team.
- Assist with rescheduling and follow-up when appointments change.
Patient Check-In & Check-Out
- Welcome patients when they arrive and help create a positive first impression.
- Check patients in and out efficiently.
- Help patients understand what they need to do next.
- Provide friendly, attentive customer service throughout each interaction.
Front Office & Administrative Support
- Enter and update patient information accurately.
- Maintain organized electronic records and clinic information.
- Support day-to-day front office operations.
- Communicate scheduling updates and patient needs with the clinical team.
- Help keep the front desk organized and running smoothly.
Customer Service & Communication
- Make patients feel heard, welcomed, and supported.
- Communicate confidently and professionally by phone, email, and in person.
- Answer questions or help connect patients with the right team member.
- Follow up consistently so potential patients do not fall through the cracks.

Healthcare or medical front office experience is a plus, but it is not required.
