Seeking a highly organized and detail-oriented Assembly Administrator to support executive leadership and departmental operations. This role will be responsible for managing executive calendars and travel, issuing and tracking purchase requisitions and project budgets, maintaining office operations and assets, and developing KPI reporting tools to support departmental objectives.
The ideal candidate will have experience supporting engineering or production environments, managing budgets, coordinating executive activities, and utilizing systems such as SAP, Ariba, and Power BI.
Key Responsibilities
- Manage executive calendars, schedules, and travel arrangements for FAE leadership.
- Issue and track purchase requisitions for the Final Assembly Engineering department.
- Track, receive, and maintain records for project purchase orders.
- Monitor and maintain departmental budgets utilizing SAP, Ariba, and internal Toyota systems.
- Develop, update, and maintain budget KPI reports and virtual dashboards.
- Manage office operations, supplies, equipment, and departmental assets.
- Maintain inventory and asset tracking records.
- Develop and maintain the annual operating budget for office maintenance and support activities.
- Support departmental reporting, documentation, and administrative initiatives.
- Coordinate with internal stakeholders to ensure accurate budget and project tracking.
Required Qualifications
- Bachelor’s degree or higher.
- Minimum 2 years of administrative experience supporting Production Engineering or a similar technical organization.
- Minimum 2 years of experience supporting project budgets and financial tracking.
- Minimum 2 years of experience with asset management and tracking.
- Experience managing executive or General Manager calendars and travel arrangements.
- Experience using Ariba procurement systems.
- Experience creating and maintaining Power BI reports and dashboards.
- Strong organizational, communication, and multitasking skills.
- Proficiency with Microsoft Office applications.
Preferred Qualifications
- Experience working in a manufacturing or automotive environment.
- Experience with SAP financial and procurement systems.
- Knowledge of KPI reporting and performance tracking.
- Experience supporting engineering or project management teams.
