We are looking for an Administration Specialist to support the Human Resources department through administrative coordination, cross-functional operational support, employee communication, training coordination, and process management. This role is responsible for maintaining organizational efficiency across multiple business functions while supporting employee onboarding, documentation management, compliance coordination, benefits, and internal operational processes. The ideal candidate is highly organized, detail-oriented, and able to work in a fast-paced logistics and operations environment while collaborating with both U.S. and international teams.
Key Responsibilities
1. Administrative & HR Support
Provide day-to-day administrative support to the Human Resources department and cross-functional operational teams. Assist with employee onboarding, orientation scheduling, training coordination, and internal communication processes.
Maintain benefits management, employee records, operational documentation, training files, and administrative reports in an organized and compliant manner. Coordinate meetings, travel arrangements, office visits, and internal operational schedules as needed.
2. Administration Benefits:
Assist in managing company-wide employee benefit programs, including Medical, Dental, Vision, Life Insurance, and 401(k) retirement plans; oversee the end-to-end lifecycle of employee benefits, including enrollment, termination (COBRA processing support), and the Annual Open Enrollment process.
3. SOP & Process Management
Assist in organizing, updating, maintaining, and distributing Standard Operating Procedures (SOPs) across departments.
Support process documentation management, including version control, revision tracking, and archival of outdated procedures. Coordinate with operations and training teams to ensure process consistency and policy compliance.
4. Cross-Functional Communication & Business Support
Serve as a communication liaison between HR, warehouse operations, quality control, planning, and international business teams.
Assist with operational follow-up, issue tracking, and administrative coordination related to workflow implementation and business process improvements.
Support new operational process rollouts by coordinating documentation, communication, scheduling, and implementation tracking.
5. Quality & Performance Support
Assist with quality review processes involving operational communications, customer feedback, and internal process compliance.
Help collect and organize operational performance data and support reporting for management review.
Coordinate follow-up actions for identified operational issues and help departments maintain process improvement initiatives.
Qualifications
· Bachelor’s or Master’s degree or higher in Human Resources, Business Administration, Organizational Management, Communications, or related field.
· 1–3 years of experience in administration, HR support, operations coordination, or logistics support preferred.
· Strong organizational skills with the ability to manage multiple priorities and deadlines.
· Excellent Bilingual skills in Mandarin and English.
· Proficiency in Microsoft Office Suite, Google Workspace, and administrative systems.
· Experience supporting multi-state operations or warehouse environments is a plus.
· Ability to work independently and collaboratively in a fast-paced environment.
· Knowledge of SOP management and process documentation.
· Strong attention to detail and problem-solving abilities.
· Experience coordinating training or employee development activities is a plus.
· Cross-cultural communication experience with international teams preferred.
