THE CLIENT
Our team is partnering with a leading investment platform to hire a high‑caliber Traveling Personal Assistant to support the Founder within their personal family office. This is a uniquely dynamic and hands-on role that requires significant global travel, comfort in a fast-paced, on-the-go environment, and a high level of discretion.
The PA will be a key member of a tight‑knit support team, working closely alongside the Chief of Staff and Executive Assistant. This individual will play a critical role in ensuring the Principal’s day‑to‑day life runs seamlessly across multiple residences and international locations.
THE ROLE
This position is highly immersive and travel-intensive, requiring a proactive, flexible approach and the ability to operate as the “eyes and ears on the ground.” The PA will anticipate needs in real time, troubleshoot on the fly, and ensure every detail is executed to an exceptional standard.
Key responsibilities include:
Travel Support & Logistics
- Accompany the Principal on frequent travel (approximately 400 flight hours annually, primarily via private jet)
- Manage real-time logistics across domestic and international destinations
- Coordinate and adjust detailed itineraries, including flights, trains, ferries, and ground transport
- Handle luggage and assist with the physical demands of frequent travel
- Ensure smooth transitions between locations, residences, and scheduled engagements
Lifestyle & Personal Support
- Provide discreet, high-touch support during social engagements and travel, ensuring comfort and privacy at all times
- Execute personal errands and unique requests, including sourcing hard-to-find items and coordinating services globally
- Support family and group trips, maintaining a polished and professional presence
Coordination & Administration
- Act as a central point for on-the-ground updates, ensuring the broader team remains informed
- Maintain exceptional organization and responsiveness across all requests
- Handle administrative aspects tied to travel and personal logistics with precision and urgency
THE CANDIDATE
The ideal candidate is calm under pressure, highly perceptive, and thrives in a fast-moving, ever-changing environment. This person will be proactive, grounded, and able to operate with both confidence and discretion.
Key requirements include:
- Prior experience in a similar personal assistant or travel-intensive support role
- Strong travel coordination experience, ideally with exposure to private aviation
- Active passport with no travel restrictions and a valid driver’s license (comfortable driving internationally)
- Comfortable operating in a fast-paced, highly mobile environment with frequent travel demands
- Highly organized, direct, and trustworthy, with excellent judgment and situational awareness
- Strong interpersonal skills with the ability to blend seamlessly into a variety of settings
THE COMPENSATION & BENEFITS
- Base salary: $150,000 – $175,000
- Discretionary bonus (typically 10–20%), including a summer completion bonus
- 100% employer-covered healthcare; dental contribution; vision plan available
- 401(k) with 3% match
- 10 days PTO 5 sick days (coordinated around travel schedule)
- Additional perks including spot bonuses and occasional Principal-sponsored leisure time during travel downtime
WORK ENVIRONMENT
- Extensive international travel, including periods of up to 2 consecutive months during peak seasons
- Frequent weekend and holiday travel required
- Approximately 6 months annually based in the New York area (office and secondary residence)
- Close collaboration with household staff and the broader family office team
- Flexibility for lighter or remote work periods when the Principal’s schedule allows
