Position Summary:
Jolley Law Group is seeking an experienced Estate and Trust Administration Paralegal to support a sophisticated and high-performing trusts and estates practice. This role offers significant client interaction, ownership of matters from intake through closing, and the opportunity to deepen expertise in complex estate and trust administration. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple matters independently while collaborating closely with attorneys and clients.
Key Responsibilities:
Client Intake & Engagement:
- Conduct initial client intake and gather relevant documentation
- Manage intake workflow in Clio Grow, ensuring timely follow-up and file progression
- Respond to client inquiries and maintain consistent communication
- Draft and coordinate execution of engagement letters
Legal Document Preparation & Case Management
- Prepare, draft, and file court documents across multiple jurisdictions (e-filing)
- Track deadlines and ensure timely filings and compliance
- Maintain organized electronic case files with strong version control
- Assist with preparation of probate and trust administration documents
- Manage financial data and prepare accountings using GEMS software
Scheduling & Case Coordination:
- Coordinate hearings, depositions, client meetings, and court appearances
- Maintain and monitor calendars, deadlines, and key milestones
- Communicate with clients, courts, opposing counsel, and third parties
- Prepare case summaries, status updates, and internal reports
Billing & Administrative Support:
- Track and enter billable time in Clio Manage
- Assist with invoicing, expense tracking, and matter budgets
- Ensure compliance with firm billing practices and procedures
Additional Duties:
- Provide general support to attorneys as needed in estate and trust administration matters
Qualifications:
- 3–5 years of experience in estate and trust administration (high-net-worth experience preferred)
- Experience with estate litigation is a plus
- Associate’s or Bachelor’s degree in Paralegal Studies or related field preferred
- Proficiency in Clio Grow, Clio Manage, and Microsoft Office (Word, Excel, Outlook)
- Experience with legal document and case management systems
- Strong organizational and time management skills
- Excellent written and verbal communication abilities
- High attention to detail and problem-solving skills
Work Environment & Physical Requirements:
This is an in-office position requiring regular use of standard office equipment.
The role involves periods of sitting, standing, and occasional lifting of up to 20 pounds.
