About the Opportunity
A well-established construction and real estate development company is seeking a highly organized and professional Front Desk & Administrative Coordinator to support executive leadership, project managers, and daily office operations. This role serves as the face of the organization, creating a welcoming experience for visitors while providing critical administrative support across multiple departments.
Key Qualifications
- 5 years of administrative assistant, office coordinator, executive support, or front desk receptionist experience
- Strong verbal and written communication skills
- Excellent organizational skills and attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook
- Experience handling confidential information with discretion
- High school diploma or equivalent
Responsibilities
- Welcome visitors, clients, vendors, subcontractors, and business partners with professionalism and courtesy
- Answer, screen, and route incoming phone calls and inquiries
- Manage incoming and outgoing mail, deliveries, and courier services
- Maintain reception, lobby, and common areas to professional standards
- Monitor and manage the company's general email inbox
- Provide administrative support to senior leadership and project management teams
- Prepare, organize, and maintain construction documentation, contracts, permits, insurance certificates, and project files
- Assist with document management and recordkeeping
- Coordinate meetings, catering, and event logistics
- Provide calendar and scheduling support using Microsoft Outlook
- Maintain office supply inventory and vendor relationships
- Support day-to-day office operations and special projects
- Assist with administrative tasks that help ensure efficient business operations
