JOB DESCRIPTION
John Wood Community College (JWCC) is seeking a detail-oriented and highly organized Administrative Assistant to support the Health Sciences department. This position plays a critical role in supporting the daily operations of Health Sciences programs in a highly regulated environment. The Administrative Assistant serves as a central point of communication and coordination for students, faculty, and staff while ensuring compliance with accreditation, regulatory, and institutional requirements. This role requires a high level of confidentiality, accuracy, and collaboration to support student success and program excellence.
KEY RESPONSIBILITIES
- Provide administrative support to program chairs, coordinators, and directors, serving internal and external stakeholders.
- Maintain and update confidential student health and academic records, ensuring compliance with regulatory and accreditation standards.
- Oversee general office operations, including monitoring, ordering, and maintaining supplies and equipment for offices, classrooms, and labs.
- Manage filing systems and ensure the secure handling of confidential documents.
- Serve as a communication hub for Health Sciences programs.
- Coordinate with regulatory, accrediting, and contract agencies to ensure compliance with required standards and reports.
- Collect, validate, and prepare data for regulatory reporting requirements.
- Maintain and update internal documents, communications, and program materials.
- Coordinate selective admissions processes and advise applicants.
- Support selection committees and prepare related reports.
- Coordinate and manage clinical site rotations and communications.
- Manage evaluation processes and prepare reports.
- Create and maintain electronic databases.
- Maintain department website and materials.
- Adapt to evolving departmental needs.

QUALIFICATIONS
Education:
- Associate's degree or appropriate credential preferred.
Experience:
- Minimum of three (3) years of related office or administrative experience preferred.
Skills and Competencies:
- Excellent written, verbal, and organizational skills.
- Ability to handle confidential information with discretion.
- Strong attention to detail.
- Ability to prioritize work independently and collaboratively.
- Proficiency in Microsoft Office.
- Ability to work with a diverse population.
Work Schedule:
- Full-time position with a typical schedule of Monday-Thursday (8am – 5pm) and Friday (8am – 12pm).
SALARY
- This is a non-exempt position with an approximate hourly rate of $16.00 - $19.00.
