This is a full-time, 12-month, non-exempt position that reports to the Head of Enrollment, Registrar, Financial Aid Services located on JWCC's main campus in Quincy, Illinois. Position begins immediately.


JOB DESCRIPTION

John Wood Community College is looking for a Registrar Specialist to help support the key functions within the Registrar's Office, including the management of the Banner Document Management System (BDM), VA benefits processing, degree audits, transcript services, and academic term scheduling.


KEY RESPONSIBILITIES

  • Assist in the implementation and management of the Banner Document Management System (BDM) to enhance document processing and recordkeeping, including scanning and organizing documents within the file room.
  • Support VA benefits administration.
  • Aid in maintaining and updating degree audits, Degree Works scribing, and career pathway organization.
  • Provide support for transcript evaluation, academic records processing, and accurate record retention.
  • Support student registration processes, policy interpretation, and adherence to accrediting and regulatory standards.
  • Develop and maintain internal training documentation to promote consistent and efficient use of registrar systems and workflows.

QUALIFICATIONS

Education & Experience:

  • Associate's degree in a related field required; Bachelor's degree preferred. Relevant experience may be considered.
  • At least 2 years of relevant experience preferred.
  • Experience working with Banner and Veterans preferred.
  • Experience in higher education or public institutions is a plus.

Skills & Competencies:

  • Excellent written and verbal communication skills.
  • Strong interpersonal skills with faculty, staff, students, and community populations.
  • Strong organizational and problem-solving skills.
  • Expertise in Microsoft Office applications and related hardware and software for reporting and processing.
  • Working knowledge of FERPA regulations.
  • Ability to interpret policies and procedures, work independently, and multi-task.
  • High attention to detail.

Working Conditions:

  • Primarily office-based with occasional travel for professional development.
  • Work in well-lit, ventilated office spaces, as well as across campus.
  • Ability to sit, stand, bend, lift, and move intermittently throughout the workday.
  • Subject to frequent interruptions and interaction with students, faculty, staff, and the public.
  • Flexibility to work beyond regular hours, including weekends and holidays, when necessary.
  • Participation in ongoing professional development to stay informed about trends in the field.
  • Ability to manage the mental and emotional demands of the role.

Work Schedule:

  • Full-time position with a typical schedule of Monday – Thursday 8:00am – 5:00pm and Friday 8:00am – 12:00pm.

SALARY:

  • This is a non-exempt position with an estimated hourly rate of $16.00 – $18.00.
