Job Description
The Administrative Assistant provides high-level administrative and secretarial support to the Dean of the Liberal Arts Division.
This position involves performing advanced clerical and administrative duties that require a comprehensive understanding of departmental operations, policies, and procedures to ensure work is completed accurately and in compliance with established standards. The role includes providing independent administrative support to the Dean, as well as to full-time faculty and adjunct instructors.
The Administrative Assistant exercises a high degree of discretion and independent judgment in managing workflow, addressing inquiries and concerns, and serving as a primary point of contact for internal and external stakeholders. This position regularly handles complex and confidential information. Strong organizational and office management skills are essential, particularly given the volume of faculty within the division.
Required Qualifications
MINIMUM REQUIREMENTS
High school graduation or equivalent, supplemented by courses in office technology; minimum two (2) years’ experience in meeting with the public and performing secretarial and clerical work.

Strong written and verbal communication skills and word processing and spreadsheet skills; good telephone skills; experience and ability to work with the public in stressful situations; ability to prioritize job responsibilities; knowledge of modern office practices and procedures; ability to make decisions in accordance with college policy, rules, regulations, and departmental policies; and the ability to establish and maintain effective working relationships with other employees and with the public. Ability to learn and efficiently use various computer programs and software.
Preferred Qualifications
The preferred candidate will have an associate’s degree and experience working in an educational or college environment.

- Work is routinely performed in an office environment. Subject to standing, walking, sitting, bending, reaching, kneeling, pushing and pulling, using hands and fingers, stooping and occasional lifting of objects up to 10 lbs.
EXPECTED HOURS OF WORK
Typical work hours are Monday through Friday 7:30 a.m. to 4:30 p.m. during normal calendar days. Summer may vary. Occasional irregular hours. The position may be eligible for the alternative work arrangement after the 120-day probationary period is successfully completed.
