- 1–3 years of experience in recruiting coordination, talent acquisition operations, or HR coordination in a corporate or agency environment.
- Experience working in an applicant tracking system; SAP SuccessFactors experience is preferred.
- Proficiency with calendar management and productivity tools (e.g., Outlook) in a high-volume scheduling environment.
- Bachelor’s degree or equivalent practical experience.
Responsibilities:
- Own end-to-end interview scheduling for high-volume requisitions, building interview plans that reduce candidate wait time and eliminate avoidable conflicts across time zones.
- Deliver a consistently strong candidate experience by serving as the primary point of contact from application through offer acceptance, with clear, timely updates at every stage.
- Maintain real-time data integrity in SAP SuccessFactors (or comparable ATS) so recruiters and hiring managers have an accurate single source of truth for pipeline visibility.
- Run on-site and virtual interview operations—rooms, video links, visitor logistics, itineraries, and interviewer prep—so every interview loop is smooth, professional, and on brand.
- Drive follow-through on interview feedback collection and process checkpoints, keeping decisions moving and surfacing risks early to recruiters and HR leadership.
- Coordinate offer and pre-employment steps (offer letters, background checks, pre-boarding documents) so candidates clear administrative requirements without slowing start dates.
- Track and summarize recruiting operations metrics (e.g., time-to-schedule, interview throughput) and recommend workflow improvements that increase scheduling efficiency.
- 1–3 years of experience in recruiting coordination, talent acquisition operations, or HR coordination in a corporate or agency environment.

- Skilled at managing 20 concurrent interview schedules while keeping details accurate (time zones, links, panel changes, and candidate constraints).
- Able to communicate warmly and professionally with candidates ranging from technicians to senior leaders, adapting tone and detail without losing clarity.
- Comfortable working with recruiting data and basic reporting (spreadsheets and ATS dashboards) to spot bottlenecks and improve scheduling flow.
- Able to anticipate issues—reschedules, missing feedback, logistics failures—and resolve them quickly while keeping stakeholders informed.
- Effective at building trust with recruiters and hiring managers through consistent follow-through, confidentiality, and crisp execution.
- Works well in fast-changing environments where hiring priorities shift based on production needs and customer delivery timelines.
