The Paralegal will play a critical role in managing transactions from inception through closing and post-closing, working closely with attorneys, clients, lenders, and third parties. This position requires the ability to manage multiple high-value transactions while maintaining accuracy, meeting deadlines, and ensuring seamless execution.
Key Responsibilities
Transaction Management & Closings
- Manage commercial real estate and finance transactions from start to finish, including acquisitions, dispositions, refinancing, and multi-site developments.
- Coordinate and assist with all aspects of real estate closings, including preparation and review of closing statements, settlement documents, transfer tax forms, and escrow releases.
- Maintain and monitor closing checklists, contract deadlines, and critical transaction milestones.
- Organize and maintain transaction files and closing binders, and ensure all post-closing requirements are completed.
- Order, review, and analyze title commitments, surveys, title policies, endorsements, and inspection reports.
- Coordinate due diligence efforts for commercial and residential real estate transactions.
- Review and summarize UCC searches, judgment searches, lien searches, and tax searches.
- Identify and escalate title or survey issues to attorneys and assist with resolution.
- Prepare, review, and file legal documents including deeds, mortgages, leases, UCC financing statements, and conveyance documents.
- Draft correspondence, memoranda, and abstracts of lease agreements and loan documents.
- Assist attorneys with drafting and reviewing commercial real estate contracts and finance-related agreements.
- Ensure proper execution, filing, and recording of legal documents.
- Maintain accurate transaction records and organize legal documentation.
- Coordinate with lenders, title companies, surveyors, and clients throughout the transaction lifecycle.
- Monitor post-closing deliveries and ensure proper indexing and filing of completed transactions.
- Support attorneys with ongoing transaction management and workflow coordination.
Required:
- Minimum of five (5) years of paralegal experience supporting commercial real estate and/or finance transactions in a law firm setting
- Strong knowledge of commercial real estate closings, title and survey review, and real estate finance transactions
- Experience managing multiple transactions simultaneously in a fast-paced legal environment
- Excellent organizational, analytical, and time-management skills
- Strong written and verbal communication skills
- High attention to detail and accuracy
- Florida Registered Paralegal designation
- Bachelor s degree or Paralegal certificate
- Experience with legal software such as iManage, Aderant, or similar document management systems
- Experience supporting multi-site or complex commercial transactions
- Strong transaction management and organizational skills
- Ability to work independently and proactively
- Excellent legal documentation and analytical abilities
- Strong communication and coordination skills
- Ability to prioritize deadlines and manage high-volume workload
