Summary:
The Accounts Receivable Specialist is responsible for managing customer accounts to ensure timely and accurate payment of invoices. This role plays a key part in supporting healthy cash flow by partnering with customers and internal teams to resolve billing issues, apply payments, and monitor account aging.
Key Responsibilities include:
- Generating, reviewing, and distributing customer invoices in accordance with contractual terms
- Monitoring accounts receivable aging and proactively following up on past-due balances via phone and email
- Researching, resolving, and documenting billing discrepancies, short pays, deductions, and disputes
- Accurately applying customer payments, including cash, ACH, wire, and credit card transactions
- Maintaining detailed and accurate account notes and records within the ERP or accounting system
- Preparing and analyzing AR aging reports and escalating risk items as appropriate
- Collaborating cross-functionally with sales, customer service, and accounting teams to resolve issues
- Assisting with month-end close activities related to accounts receivable
- Supporting audits by providing invoice documentation, payment history, and reconciliations
- Ensuring compliance with internal controls, accounting policies, and procedures
- 2 years of experience in accounts receivable, billing, or collections
- Experience with ERP or accounting systems preferred (NetSuite experience a plus)
- Strong communication skills with the ability to handle customer conversations professionally
- High attention to detail with strong organizational and time-management skills
- Proficiency in Microsoft Excel and basic financial reporting
- Ability to manage multiple accounts and prioritize follow-ups effectively
