About the Role
***Hybrid, at least 3 days per week on site in our Louisville office***
Our firm's Client Readiness & Engagement team is looking for an organized, client-focused coordinator to be the connective tissue between our planning attorneys, clients, advisors, and internal teams. You'll own scheduling, client communication, meeting prep, and engagement administration from a client's first consultation through signed engagement — keeping everyone aligned and moving forward.
No legal drafting, research, or bar admission required. This is a coordination and client-experience role, not a paralegal position — you won't be preparing pleadings, conducting legal research, or drafting legal instruments. If you're great at keeping projects on track, managing competing calendars, writing clear summaries, and making clients feel taken care of, this role is built for you. Backgrounds in client services, project coordination, executive support, hospitality, financial services, or professional services are all a strong fit — legal experience is a plus, not a requirement.
What You'll Do
Keep the planning process moving
- Manage scheduling and calendar coordination for assigned attorneys — consultations, planning presentations, strategy meetings, and follow-ups
- Track client progress, outstanding tasks, and deadlines through the pre-engagement process
- Flag workflow gaps and suggest process improvements to leadership
Be the point of contact
- Serve as the primary liaison between clients, advisors, attorneys, and internal departments
- Prepare meeting agendas and materials in advance so attorneys walk in ready
- Attend meetings, capture action items and next steps, and follow up to make sure they get done
Prepare materials for attorney review
- Draft meeting recaps, planning summaries, and presentation materials based on attorney direction and client conversations (you'll be organizing and writing up what's discussed — not producing legal work product)
- Proofread and format planning documentation for accuracy and completeness before it goes to a client
Handle engagement administration
- Coordinate engagement letter preparation, routing, and signature collection
- Generate initial invoices and coordinate billing timing with the finance team
- Maintain accurate, up-to-date records in firm systems
Collaborate across the team
- Partner with Client Readiness Specialists for smooth client handoffs
- Support technology, automation, and process improvement initiatives
- Help build out client communication templates and best practices
What You Bring
- 2 years in a coordination, client services, executive support, or project management role (legal or financial services industry experience is a plus, not required)
- Excellent written communication — you can summarize a meeting or draft a client-ready recap without hand-holding
- Strong organizational skills and comfort juggling multiple attorneys' calendars and priorities at once
- Comfort with scheduling tools, Microsoft Office/Google Workspace, and general practice/case management software (we'll train you on our specific systems)
- A calm, professional presence with clients — you're often the first and most consistent point of contact they have with the firm
- High attention to detail, especially around deadlines and financial/billing accuracy
