Role Overview

The Readiness Specialist is a client-facing individual contributor role within Client Readiness & Engagement. This position is responsible for driving readiness for assigned clients by collecting information, coordinating next steps, maintaining momentum, and ensuring matters are prepared for efficient legal execution.

As one of the first hires within the readiness function, this role will operate in an evolving environment. While the primary focus is execution and client progression, the specialist will also help identify opportunities to improve workflows, strengthen processes, and shape how readiness is delivered as the function grows. The role works closely with the Director of Readiness & Engagement, who owns strategy, process design, and overall function leadership.

This is an opportunity for someone who enjoys both hands-on execution and helping build a scalable operating model from the ground up.

Why This Role Matters

The Readiness Specialist is responsible for ensuring clients move efficiently through readiness while helping the firm develop a consistent, repeatable readiness experience.

Success requires strong execution, persistence, organization, and judgment. The person in this role will be expected to identify friction points, surface improvement opportunities, and contribute ideas that help the readiness function become more effective over time, while remaining accountable for the day-to-day execution of client readiness activities.

Core Responsibilities

  • Own readiness progression for assigned clients, including data collection, documentation, coordination, and follow-up.
  • Drive completion of required client information and document collection, including financial records, tax returns, entity information, and other readiness requirements.
  • Maintain proactive follow-up with clients to ensure timely completion of outstanding items.
  • Guide clients through the readiness process by explaining requirements, next steps, and expectations.
  • Support non-legal decision readiness using established tools, prompts, and frameworks.
  • Escalate legal questions, technical matters, and judgment-based decisions to attorneys as appropriate.
  • Ensure client information is complete, accurate, and properly organized within firm systems.
  • Coordinate with attorneys, paralegals, and internal teams to resolve readiness gaps efficiently.
  • Identify recurring obstacles, workflow inefficiencies, and client friction points and recommend improvements.
  • Partner with the Director of Readiness & Engagement to develop and refine readiness processes, tools, templates, and best practices.
  • Contribute to the development of scalable systems that improve consistency, client experience, and operational efficiency.

What Success Looks Like

  • Clients are guided clearly and consistently through the readiness process.
  • Required information is collected accurately and on time.
  • Attorneys receive organized, complete information with fewer follow-up requests.
  • Matters move forward faster because readiness is owned proactively.
  • Workflow improvements are identified and implemented as the function evolves.
  • The specialist demonstrates strong ownership, judgment, and execution while contributing to the growth of the readiness function.

What We're Looking For

  • Strong written and verbal communication skills.
  • Ability to manage multiple clients and priorities without losing attention to detail.
  • A proactive mindset with exceptional follow-through and accountability.
  • Comfort operating in an environment where processes are still being developed and refined.
  • Strong organizational and problem-solving skills.
  • Ability to identify opportunities for process improvement while maintaining execution excellence.
  • Good judgment in knowing when to escalate legal questions or complex situations.
  • Comfort with technology, documentation, and process-oriented work.
  • Interest in helping build and improve a growing function from the ground up.
