Payroll Specialist / Accountant
Location: Avon, Ohio
Workdays: Monday - Friday
Hours: 8:00-5:00
Job Summary
The Payroll Specialist is responsible for managing incentive programs, processing payroll, and calculating and recording vendor rebates to ensure accuracy, compliance, and efficiency in financial operations. This role involves preparing journal entries, reconciling accounts, processing payroll, and analyzing financial data to support the company’s accounting functions. The ideal candidate will have strong analytical skills, attention to detail, understanding of privacy requirements, and the ability to collaborate across departments.
PAYROLL
- Process bi-weekly (or applicable schedule) payroll for 200 employees using Paycor.
- Ensure accurate calculation of wages, overtime, deductions, and withholdings.
- This role requires dedicated availability Monday–Wednesday during each payroll week, as these days are critical for payroll entry, validation, corrections, and final processing.
- Work with payroll company and employees to ensure payroll gets processed by required deadlines.
- Track employee key card usage at building entrances to ensure proper city tax is deducted in payroll.
- Maintain and safeguard confidential payroll records, including timecards, tax forms, direct deposits, and benefit deductions.
- Address employee payroll inquiries and resolve discrepancies promptly.
- Ensure compliance with federal, state, and local payroll laws, as well as company policies.
- Works with Controller to set up proper Tax Handling/Tax Codes by employee.
- Generate and distribute payroll reports for internal use to appropriate personnel.
- Collaborate with HR to ensure accuracy of employee records related to compensation, benefits, and leave balances.
- Assist with year-end payroll processes, including W-2 and 1095-C distribution.
- Setting up new employees in payroll and time clock system
- Trains new employees and managers on how to use time clock system and payroll
- Verifies the correct employee earnings including overtime, incentives, commissions or incentive bonus payments when processing payroll.
- Analyzes monthly/quarterly/annual incentive compensation payments.
- Processes adjustments (401K, HSA, Garnishments, terminations, PTO, unpaid leave of absence, FMLA, etc.)
- Inputs all required pay deductions which involve multi-state tax deductions or withholding.
- Verify hours/bill rate from temp agency to timecard punches, have hiring manager sign invoice and submit to accounting department for payment.
- Track SPIFFS (Sales Performance Incentive Fund).
- Processes monthly billings from insurance providers. Reviews billings for accuracy, resolves discrepancies with carriers.
- Maintains Headcount report to track number of employees, job status , and other key metrics.
INCENTIVES
- Primarily focuses on designing, implementing, and managing compensation plans.
- Work with other departments to ensure programs are set up properly and assignments of accounts are done timely and accurately.
- Ensure the smooth operation of incentive programs while maintaining accuracy and compliance with company policies.
- Work with IT to ensure the information presented on Jenne’s website regarding incentives is accurate and working
- Key responsibilities include analyzing performance data, setting goals, calculating incentive payouts, and communicating program calculations to employees when there are questions.
REBATES
- Prepare and post daily journal entries.
- Prepare and reconcile weekly/monthly/quarterly vendor rebate calculations/submittals.
- Prepare and analyze account reconciliations.
Other
- Perform such other accounting, financial, or administrative tasks as required from time to time – on short notice and quite often in tight timeframes.
- Team oriented with a willingness to support others.
- Other duties or responsibilities that may be assigned as the job requirements dictate.

Required Skills/Abilities
- 3-5 years of relevant work experience (preferably with Paycor).
- Strong knowledge of payroll regulations, and compliance requirements.
- Experience handling multi-state payroll processing is a plus.
- Proficiency in Microsoft Excel and payroll reporting tools.
- High attention to detail, accuracy, and confidentiality.
- Strong analytical, problem-solving, and organizational skills.
- Excellent communication skills with the ability to assist employees and address concerns.
- Skilled in utilizing Microsoft Office Suite 365.
Education And Experience
- Associate or bachelor’s degree in accounting, finance, or related field preferred.
- Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) is a plus.
Physical Requirements: ( In compliance with ADA)
- Ability to sit at a computer terminal for long periods of time.
- Ability to lift 5lbs.
- This position is essential, and the employee must be physically in attendance at their designated workstation at our headquarters or home office location during normal business hours designated for this position.
