Position Description:
The Office Manager assures the smooth operation of the office of the Chief Human Resources Officer and the Human Resources department. The office manager assists with administrative duties so that the Chief Human Resources Officer may devote maximum attention to central issues of the department. The Office Manager shall act as a representative of the Chief Human Resources Officer and have the ability to communicate intelligently with all stakeholders and vendors regarding policies and procedures of the department.
Reports To: Chief Human Resources Officer
Scope of Responsibility:
- Prioritizes, screens, and distributes all telephone calls and incoming mail for the Chief Human Resources Officer.
- Manages clerical activities to ensure a routine work flow, correspondence, requests for information, and coordination with all departments and units.
- Schedules all appointments for the Chief Human Resources Officer.
- Performs clerical and office tasks including bookkeeping, filing, faxing and supplemental payroll duties for the department.
- Serves as the official timekeeper for the Human Resources department.
- Manages budget activities and processes of the department, including acquiring approvals and issuing budget codes for payment of all bills for the department.
- Oversees administrative projects for the department.
- Maintains all office supplies for the department.
- Maintains personnel documents concerning attendance, conduct, and related confidential matters.
- Prepares all requisitions for the department.
- Prepares employment reports for board meetings.
- Answers inquiries from the general public, administrators, and other personnel for the department.
- Maintains, prepares, distributes, and collects administrator contracts for the district.
- Performs other duties as assigned by the Chief Human Resources Officer.
Skills and Qualifications:
- High School Diploma/GED
- Ability to work with basic computer programs, such as: MS Word, Excel, etc.
- Excellent customer service skills when dealing with the public
Desirable Qualifications:
- Bilingual/Spanish speaking desired, but not required
Physical Involvement:
Must be able to operate office equipment. Standing, walking, reaching, bending, and lifting up to 10 pounds is required.
