James River Air Conditioning is seeking a detail-oriented and customer-focused Billing Assistant / CSR to support our Commercial Service Department. This role will primarily assist with billing and invoice processing while also providing administrative and customer service support to the service team. The ideal candidate is organized, responsive, and comfortable managing multiple priorities in a fast-paced environment.

Primary Responsibilities

This role will primarily assist with billing and invoice processing while also providing administrative and customer service support to the service team. Duties And Responsibilities
Primary Responsibilities
- Assist Billing Specialist with preparation and processing of customer invoices
- Manage customer billing portals, including invoice posting, tracking, and follow-up
- Monitor portal statuses to ensure timely submission and approval of invoices
- Assist with payment processing and reconciliation
- Support collections efforts on outstanding invoices
- Respond to and help resolve customer billing and invoice inquiries
- Any other job duties as assigned by manager
- Preferred Experience With Customer Portals/Platforms:Ariba, Coupa, ServiceChannel, ResQ, Talia, Corrigo Pro, ServiceTitan
- Assist with incoming phone traffic for the Commercial Service Department
- Support field and sales teams with purchase order requests
- Assist with employee timesheet processing and administrative support
- Prior billing, accounts receivable, customer service, or administrative experience preferred
- Experience with customer/vendor billing portals strongly preferred
- Strong attention to detail and organizational skills
- Ability to multitask and manage competing priorities
- Proficient in Microsoft Office and general computer systems
- Strong communication and customer service skills
- All successful candidates must be able to pass the required background check and drug-screen.
