James River Air Conditioning is seeking a detail-oriented and highly organized Lead Coordinator to join our Commercial Division. This role serves as a key operational partner to the existing Lead Coordinator, supporting the sales and service teams through proposal coordination, lead management, customer communication, and administrative support.
The ideal candidate thrives in a fast-paced environment, communicates professionally with internal teams and customers, and can manage multiple priorities with urgency and accuracy.
Duties & Responsibilities

Duties & Responsibilities
- Convert costing data into formal client proposals/quotes
- Send quotes to customers and follow up for receipt/approval
- Manage incoming replacement/PM leads and distribute to sales team
- Serve as backup for incoming commercial phone traffic
- Cross-train on all Lead Coordinator II responsibilities
- Source parts pricing and research warranties
- Enter purchase orders and return orders
- Order and track parts/materials
- Process returns and obtain RMAs as needed
- Anything else as assigned by the manager
- 2 years of administrative, coordinator, dispatch, or operations support experience preferred
- Experience in HVAC, mechanical contracting, construction, service, or trades environment preferred
- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills
- High attention to detail and sense of urgency
- Proficient in Microsoft Office and computer-based systems
- Ability to prioritize workload in a fast-paced environment
- All successful candidates must be able to pass the required background check and drug-screen.
