 Position Summary:

The Contract Coordinator supports the management and compliance of agency contracts by monitoring timelines, deliverables, utilization, and program outcomes. This role prepares required reports, collaborates with internal teams and partnered agencies, and supports program supervisors to ensure services are delivered in compliance with contract requirements and funding guidelines.

 

Role and Responsibilities

This person’s job responsibility includes, but is not limited to, the following:

  • Review contract requirements to identify reporting deadlines, performance benchmarks, and compliance obligations.
  • Monitor contract timelines, deliverables, utilization, amendments, renewals, and expiration dates to ensure compliance with agency and funder requirements.
  • Maintain accurate contract documentation and records in accordance with agency policy.
  • Stay informed of applicable regulations, funded guidelines, and agency policies related to contracts and service delivery.
  • Prepare and submit accurate monthly, quarterly, and ad hoc performance and compliance reports.
  • Support the collection, verification, and tracking of program outcomes and performance data.
  • Analyze contract and program data to identify trends, risks, and opportunities for quality improvement.
  • Monitor and track contract utilization, ensuring services are delivered within approved scope, budget, and performance benchmarks.
  • Serve as the primary liaison between the agency and partnered agencies to support effective communication and issue resolution.
  • Collaborate with internal departments, including program, finance, compliance, and quality assurance, to ensure contract adherence.
  • Provide technical assistance and guidance to program supervisors and staff regarding contract requirements and documentation standards.
  • Assist with contract onboarding and closeout processes, including required documentation and final reporting.
  • Support audits, monitoring visits, and funder reviews by compiling documentation and responding to requests.
  • Participate in internal meetings related to contract performance, service delivery, and quality improvement.
  • Perform other duties as assigned by supervisor.

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.  The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.

  • Technical Proficiency: Comfort with data tracking, reporting tools, and standard office software to manage contracts, reports, and program outcomes.

Qualifications and Education Requirements

  • Associate or bachelor’s degree in human services, Public Administration, Psychology, Social Work, or a related field preferred.
  • Computer expertise in Microsoft Office, Outlook and Excel.                                                  
  • Strong organizational skills and attention to detail.
  • Good interpersonal skills and the ability to interact with multiple generation levels.
  • Ability to communicate effectively with diverse teams and external partners.
  • Demonstrates accountability and responsibility for daily work.
  • Demonstrates a commitment to service excellence and quality improvement.
  • High level of discretion and professionalism with sensitive information.
