Duties
- Greet visitors and clients warmly, ensuring a professional and courteous first impression.
- Manage multi-line phone systems efficiently, directing calls to appropriate departments or personnel.
- Handle incoming correspondence, including emails, mail, and deliveries, with accuracy and promptness.
- Maintain organized filing systems, perform data entry tasks, and support document proofreading to ensure clarity and accuracy.
- Utilize office management software such as Microsoft Office and Office Software to prepare reports, schedules, and correspondence.
- Support calendar management and appointment scheduling for staff members or executives.
- Provide customer support by addressing inquiries professionally and resolving issues swiftly.
- Maintain a clean and organized front desk area while adhering to office policies on confidentiality and professionalism.
- Perform clerical duties such as typing, filing, data entry, and proofreading to support daily administrative operations.
Requirements
- Proven experience in office management or administrative support roles with a focus on customer service excellence.
- Strong computer skills including proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and data entry applications.
- Experience operating multi-line phone systems with excellent phone etiquette.
- Prior clerical experience in medical, dental, or chiropractic reception is advantageous but not mandatory; familiarity with appointment scheduling is preferred.
- Exceptional organizational skills with the ability to multitask effectively in a fast-paced environment.
- Demonstrated attention to detail through proofreading and accurate data entry practices.
- Strong interpersonal skills combined with professionalism to foster positive interactions with visitors, clients, and team members.
