Position Summary
The Event Project Manager works closely with the Director of Development and Marketing to plan, manage, and execute fundraising events and strategic development initiatives that support the organization's annual fundraising goals. This position serves as the project manager for the organization's fundraising event portfolio, overseeing every phase of each project, from planning and budgeting through implementation and evaluation. The successful candidate is a highly organized, detail-oriented professional with exceptional project management and communication skills who can successfully manage multiple priorities while building strong relationships with donors, sponsors, volunteers, vendors, and community partners.
Essential Responsibilities
Event Project Management (65%)
Lead the planning, coordination, and execution of the organization's fundraising events and special initiatives, including the Hot Night for Autism Gala, Itineris Golf Open, donor cultivation events, Annual Appeal, Giving Tuesday, and other fundraising initiatives.
Responsibilities include:
- Serve as the project manager for all assigned fundraising events and campaigns.
- Develop comprehensive project plans, timelines, budgets, work plans, and implementation schedules.
- Establish project goals, milestones, deliverables, and success metrics.
- Coordinate cross-functional teams, consultants, vendors, volunteers, committees, board members, and internal stakeholders.
- Manage event logistics, including venue coordination, catering, entertainment, audiovisual needs, registration systems, signage, transportation, event materials, and staffing plans.
- Oversee sponsorship fulfillment and ensure contractual obligations and recognition benefits are delivered.
- Negotiate and manage vendor contracts while maintaining budget controls.
- Monitor project progress and proactively address risks, challenges, and changing priorities.
- Lead regular planning meetings and communicate project updates to leadership and stakeholders.
- Ensure all events are completed on schedule, within budget, and aligned with organizational goals and brand standards.
- Direct on-site event operations, supervise volunteers and vendors, and resolve operational issues during events.
- Evaluate event outcomes by analyzing attendance, revenue, sponsorship performance, expenses, participant feedback, and return on investment to identify opportunities for continuous improvement.
- Identify, cultivate, and support third-party fundraising opportunities and corporate-sponsored events throughout the year.
- Maintain detailed event documentation, project files, timelines, and post-event reports.
Donor Engagement & Fundraising Communications (30%)
Support the organization's fundraising strategy through donor engagement, stewardship, communications, and relationship management.
Responsibilities include:
- Develop and implement integrated fundraising campaigns across print, direct mail, email, digital, social media, and online fundraising platforms.
- Create compelling fundraising and event communications, including invitations, sponsorship materials, event programs, presentations, scripts, promotional content, donor impact stories, and stewardship communications.
- Cultivate and maintain relationships with donors, sponsors, board members, volunteers, corporate partners, and community leaders.
- Research, identify, cultivate, solicit, and steward individual, corporate, and foundation prospects in collaboration with the Director of Development and Marketing.
- Support donor acquisition, retention, and stewardship strategies that strengthen long-term philanthropic relationships.
- Coordinate sponsorship recruitment, recognition, benefits fulfillment, and post-event stewardship.
- Maintain accurate donor, sponsor, and event participation records in the donor database.
- Assist with online fundraising initiatives, peer-to-peer campaigns, and event-related giving opportunities.
- Represent Itineris at networking events, community meetings, and fundraising activities to increase organizational visibility and community engagement.
Other Duties (5%)
- Perform other duties as assigned in support of the mission, strategic goals, and operations of Itineris.
Required Qualifications
- Bachelor's degree in nonprofit management, communications, marketing, business administration, event management, public relations, or a related field.
- Minimum of 10 years of progressively responsible experience in event management, project management, nonprofit fundraising, or development.
- Demonstrated success in planning and executing complex fundraising events from concept through post-event evaluation.
- Strong project management skills, including experience managing multiple concurrent projects, timelines, budgets, and competing priorities.
- Experience developing and managing event budgets and vendor relationships.
- Demonstrated success in cultivating relationships with donors, sponsors, volunteers, and community partners.
- Experience using donor database/CRM systems such as DonorPerfect, Raiser's Edge, Salesforce NPSP, Bloomerang, or similar platforms.
- Excellent written, verbal, and interpersonal communication skills.
- Exceptional organizational skills with strong attention to detail.
- Ability to work independently while collaborating effectively across departments.
- Proficiency with Microsoft Office Suite and event registration or fundraising software.
- Ability to maintain confidentiality and exercise sound judgment.
- Availability to work occasional evenings and weekends for fundraising events and community activities.
Preferred Qualifications
- Project Management Professional (PMP) certification or comparable project management training.
- Experience managing fundraising events, generating six-figure revenue.
- Experience with online fundraising platforms and event registration software.
- Knowledge of nonprofit fundraising best practices, donor stewardship, and event fundraising strategies.
