Job Description

The Receptionist serves as the first point of contact for employees, clients, and visitors, delivering a professional and welcoming experience while supporting the daily administrative needs of the office. This role ensures smooth front desk operations, manages incoming communication, and performs a variety of clerical and support tasks to maintain an organized and efficient workplace.

Responsibilities

  • Greet and assist visitors and clients in a courteous and professional manner
  • Answer, screen, and direct phone calls to appropriate staff or departments
  • Coordinate meetings, appointments, and conference room schedules
  • Sort and distribute incoming mail and packages; assist with outbound shipments
  • Prepare, format, and distribute reports, documents, and correspondence
  • Maintain filing systems and inventory of office supplies
  • Respond to internal and external inquiries and requests for information
  • Troubleshoot and resolve routine administrative issues
  • Serve as a communication bridge between staff, departments, and external contacts
  • Provide general administrative support to office leadership and staff as needed

Requirements

Education:

High school diploma or equivalent required. Associate's degree in accounting preferred.

Experience

  • 1–2 years of administrative, receptionist, or customer-facing experience preferred
  • Experience with office equipment and communication tools
  • Familiarity with Microsoft Office Suite (Word, Outlook, Excel)

Exposure

  • Knowledge of standard office procedures and communication etiquette
  • Experience working in a fast-paced, professional office environment
  • Exposure to multi-line phone systems and front desk operations

  • Visitor and client satisfaction feedback
  • Timeliness in meeting and room coordination
  • Accuracy of mail/package distribution

  • Administrative task completion rate

  • Internal support effectiveness

  • Ability to remain calm and professional in a fast-paced setting

Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer
  • Visual and hearing acuity for receptionist and communication duties
  • Manual dexterity for phone and computer use
  • Occasionally lifting up to 10 pounds
