Duties
- Greet visitors warmly and professionally, directing them appropriately and maintaining a welcoming atmosphere at the front desk
- Operate multi-line phone systems, answer inquiries promptly, and route calls accurately using proper phone etiquette
- Manage appointment scheduling and calendar coordination for staff members using CRM, OA, Microsoft Office and Google Workspace tools
- Perform data entry, filing, and document proofreading to ensure accuracy and organization of all office records
- Handle incoming and outgoing correspondence, including emails, mail, and courier deliveries with efficiency and professionalism
- Maintain office supplies inventory, organize files systematically, and ensure the workspace remains tidy and functional
Experience
- Previous office management or administrative experience is required; experience in medical or dental reception is a plus
- Proven clerical skills including data entry, filing, proofreading, and document management
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and familiarity with office equipment
- Excellent customer service skills with the ability to handle multiple tasks efficiently in a fast-paced environment
- Bilingual ability is highly desirable to serve diverse client needs effectively
- Demonstrated organizational skills with strong time management capabilities to prioritize tasks effectively
- Experience in handling phone etiquette, calendar management, and personal assistant duties is preferred
