Administrative Assistant and Receptionist

The Administrative Assistant will serve as the primary receptionist for the administrative office bay and provide basic administrative support to the Vice President of Student Services, Vice President of Institutional Advancement, and Executive Director of Information Technology. The role requires strong communication skills, attention to detail, and the ability to manage a variety of clerical and coordination tasks with professionalism and discretion.

  • Demonstrates IWCC’s core mission, vision and values.
  • Serves as receptionist for the administrative office bay, greeting and assisting visitors and responding to phone and email inquiries.
  • Provides administrative support to the VP of Student Services, VP of Institutional Advancement, and Executive Director of IT.
  • Assists with scheduling meetings, coordinating calendars, and managing events.
  • Support the preparation and proofs correspondence, reports, presentations, and other documents for internal and external use.
  • Tracks and submits requisitions, invoices, PO receiving, and other business office processes.
  • Monitors budgets and assists with budget reporting for supported divisions.
  • Maintains accurate and organized electronic and paper filing systems.
  • Orders and maintains office supplies and resources.
  • Coordinates mailings, processes and distributions for IWCC honors recognitions, student scholarships, donor acknowledgements, fundraising solicitations and other communications.
  • Monitors and assigns unassigned help desk requests in the IT ticketing system.
  • Reviews departmental websites regularly to ensure accuracy and functionality.
  • Organizes and updates internal directories, email distribution lists, and organizational charts.
  • Other duties as assigned.
  • Associate degree or equivalent combination of education and experience required.
  • Minimum of two years of administrative or clerical support experience, preferably in an educational or nonprofit setting.
  • Excellent verbal and written communication skills, with the ability to communicate effectively with a wide range of individuals.
  • Strong organizational skills, with attention to detail and the ability to manage multiple priorities simultaneously.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Commitment to excellent customer service and maintaining a welcoming office environment.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Positive attitude and willingness to take initiative and learn new skills.
  • Ability to pass a background check.

  • Other physical requirements: The employee frequently is required to sit for extended periods of time and use hands to operate a computer keyboard, telephone, and basic office equipment. While performing the duties of this job, the employee is regularly required to talk and hear.
