Job Description: Licensing Coordinator
Location: New York, NY/Hybrid
Salary: $60-65K

Position Overview:
As Licensing Coordinator, you will provide essential support to ILP’s Franchise Management Team—helping to manage the company’s licensing activities portfolio, track projects across film, television, theater, publishing, and consumer goods, and ensure seamless coordination between internal teams, external partners, and key stakeholders. This role reports to the SVP, Franchise Management and will also support both the division’s CEO and Chairman.
Key Responsibilities:
Administrative & Team Support
• Provide day-to-day administrative support to the Franchise Management Team, including scheduling, correspondence, and ad hoc research.
• Manage team calendars and coordinate logistics for internal meetings, external calls, and industry events.
• Prepare agendas, materials, and follow-up notes for recurring internal meetings.
Portfolio & Project Tracking
• Oversee tracking of ILP’s project portfolio across film, television, theater, publishing, consumer goods, and other media verticals.
• Maintain and update project workflows, timelines, and status logs; monitor critical deadlines, renewals, and contractual milestones.
• Develop and maintain internal tracking tools to map licensing activity, project progress, and upcoming opportunities.
Licensing Activities
• Work closely with ILP’s external licensing consultant to manage and support the day-to-day activities of the licensing portfolio.
• Assist in tracking license agreements, key terms, renewal windows, and reporting obligations.
• Serve as an internal point of contact for licensing inquiries and help facilitate communication between the consultant and internal teams.
Finance & Royalty Coordination
• Liaise with the finance and royalty departments to track and categorize incoming licensing payments.
• Help ensure accurate and timely reconciliation of royalty receipts against active agreements.
• Assist with invoice processing and coordination of payments as needed.
Reporting & Presentations
• Contribute to the compilation of quarterly board presentations, aggregating project updates, portfolio data, and licensing activity summaries.
• Help prepare presentation materials using InDesign and PowerPoint; ensure accuracy, consistency, and professional presentation of all deliverables.
• Monitor industry developments relevant to ILP’s portfolio and flag opportunities for department leadership.
Qualifications & Skills:
Essential:
• Bachelor’s degree in Business, Arts Administration, Communications, English/Literature, Theatre, or a related discipline.
• Minimum 1–2 years of experience in a coordination, licensing, or administrative role, preferably within media, entertainment, Theatre, publishing, or IP management.
• Exceptional organizational aptitude and attention to detail.
• Strong written and verbal communication skills.
• Proficiency in PowerPoint and Excel.
• Proficiency in project management tools and document tracking systems.
Preferred:
• Experience working with or alongside licensing consultants, agents, or rights management teams.
• Familiarity with royalty tracking, financial reconciliation, or licensing agreement administration.
• Proficiency in Adobe InDesign or other design tools for presentation and materials production.
• Enthusiasm for literature, intellectual property, and the creative industries.
