Our client's well-established, award-winning interior design firm, which creates inspiring environments for residential communities throughout the Eastern United States, is growing and seeking a pivotal Procurement and Office Administrator. As the Procurement and Office Administrator, you'll play a vital role in supporting procurement, office operations, and accounting functions while working alongside a collaborative, creative team.

Key Responsibilities
Procurement & Vendor Coordination
- Request quotes and place orders for furnishings, materials, and project-related products
- Track purchase orders, lead times, shipping schedules, and deliveries to ensure projects remain on schedule
- Expedite orders and proactively resolve shipping or vendor issues
- Build and maintain strong relationships with vendors and suppliers
- Maintain accurate procurement records and purchasing documentation
Office Administration
- Provide administrative support to leadership and the team
- Maintain organized digital project files
- Assist with client onboarding and general documentation using QuickBooks Online
- Support daily office operations and ensure a smooth workflow across the team
Accounting Support
- Assist with purchase orders, expense tracking, and basic bookkeeping functions
- Coordinate with accounting regarding vendor invoices and payment processing
- Maintain accurate financial and procurement records
- Support reconciliation of project purchases and related documentation
Client & Vendor Communication
- Serve as a professional point of contact for clients, vendors, and suppliers
- Provide updates regarding orders, deliveries, and project timelines
- Coordinate follow-ups and help ensure a seamless client experience
Qualifications
- 4 years of experience in office administration, procurement, operations, or accounting support
- Experience within interior design, architecture, construction, furniture, or a related industry is preferred
- Must have strong experience with QuickBooks Online
- Proficiency in Microsoft Office and/or Google Workspace
- Strong organizational and multitasking skills with excellent attention to detail
- Experience with purchasing, order management, and vendor coordination
- Basic accounting or bookkeeping experience preferred
- Ability to work independently while supporting a collaborative team
- Positive, proactive, and solution-oriented mindset
